Aurora Flight Sciences is seeking an experienced Executive Assistant to join our growing team. This position will report to the Mississippi General Manager and provide a combination of Administrative Support, Operational Liaison, and Special Projects and Assignements duties to support the Office of the General Manager. The Assistant to the GM will primarily support the General Manager in facilitation matters that are internally focused (i.e. personnel, business operations, preparations of status reports and reviews, etc.). The General Manager will assign additional duties and projects, as needed or as business and operation conditions require.

The individual selected for the position must be able to interact and communicate easily with persons at every level within the organization and with external customers. Must have professional demeanor and effective communication skills. The right person for this job can efficiently and effectively multi-task to meet scheduled deadlines, be flexible enough to respond to changing situations and be persistent enough to ensure tasks are completed. The successful candidate will be a self starter who has superb organizational skills, is able to prioritize and complete multiple tasks and has the ability to work under pressure. Has knowledge of commonly used concepts, practices, and procedures within the administrative field. Must be able to work independently and in certain projects and tasks bring to bear solid independent analysis, judgement, and execution on behalf of the Mississippi General Manager as needs dictate or require.
Represents the GM on certain internal and operational meetings and functions, as determined by the Aurora Mississippi General Manager.
On occasion and as needs dictate, will be required to develop and present information and data in a formal presentation or meeting.
Acts as the Liaison for the GM on certain matters or projects that are focused on facilitation internal operations and procedures, projects, and or initiatives.
Special projects requiring collecting and assimilating data from several sources and or departments.
Provide administrative support to the General Manager by preparing routine and advanced correspondence including letters, memoranda, reports, calendar, travel, expense reports, and developing tracking correspondence.
Provide administrative support to proposal teams as required.
Process incoming bids/quotes, distribute information, track inputs and follow up as required.
Maintain an accurate accounting for business credit card and complete a monthly reconciliation, audits as required and maintain the necessary backup.
Plan and implement Aurora MS GM office functions, i.e. staff meetings, program meetings and special events to include ordering food, setting up and recovery of conference rooms.
Maintain an accurate accounting for the authorizations, charges, and audits for conference calls.
Plan, schedule and facilitate the monthly Mississippi Operations Reviews including reparing presentations, ensuring the facility is properly set up, completing logistics requirements including meals and coordinating other activities as required.
Plan, schedule and facilitate General Manager luncheons, schedule daily internal meetings, participate in bi-weekly administrative meetings, complete meeting minutes as directed, and ensure that logistics requirements are met.
Plan, schedule, coordinate and facilitate visits to the facility ensuring that escorts are identified when necessary an ensuring that security personnel are kept informed on visiting personnel.
Assist company employees with domestic and international travel arrangements and understand government travel regulations, per diem policies and rates.

Must be able to take initiative, prioritize, work independently and handle confidential information with discretion.
Minimum Requirements (education and experience):
BS Degree and 5+ years related expeirence with increasing responsibility or 12 + years of relevant work experience is required. Strong MS Suite and Powerpoint Development Skills, MS Project is a plus. Must be a US Person.
Hours are 7am to 4pm, Monday thru Friday
