Currently we are looking for an Executive Assistant/Customer Service professional. Our products are specialty laparoscopic surgical instruments targeted toward a growing market. Qualified candidates must have at minimum a 2 year AA degree or equivalent - a bachelors degree is preferred - and experience in a medical device corporate environment. This is a multifaceted position where an ideal candidate will have a strong background in at least one of the following areas: executive administration, customer service, or bookkeeping, with some exposure to the others listed. This individual will interface with all departments within the company and will interact with governmental agencies and hospitals. Good communication and team working skills, excellent attention to detail, the ability to multi-task, and follow through are a MUST.
EXECUTIVE ASSISTANT TO PRESIDENT/CEO RESPONSIBILITIES
--Provide broad support by managing schedules and arranging travel
and expense reports.
--Manage meeting preparations (conference room set-up;
videoconferencing and/or teleconferencing set-up, arrange catered
meals and other provisions).
--Schedule and organize all aspects of periodic Board of Director
meetings, as well as executive leadership meetings and events.
--Greet visitors, answer phone lines and appropriately route/screen
--Draft, format, finalize and distribute memoranda, email messages,
meeting notes and other communication.
--Coordinate mailings and courier/deliveries.
--Maintain the general office area.
--File, order supplies and perform miscellaneous clerical duties.
CUSTOMER SERVICE RESPONSIBILITIES
--Primary contact for customer; receiving and answering all customer
--Provide product information to customers, including product use
and maintenance, etc.
--Enter customer orders; resolve issues concerning customer orders
--Provide internal support to the Sales Force as required.
--Provide management reporting.
--Process purchase orders and other miscellaneous tasks related to
--Handle various disbursement responsibilities.
--Process expense reports.
--Generate tax reports.
-- Analyze inventory stock, inventory tracking and related journal
--Monitor all transactions involving inventory to ensure the
perpetual records are updated and maintained properly.
-- Ensure inventory is valued correctly and good judgment is used in
the evaluation of reserves.
-- Maintain standard costs accuracy, and ensure the company's
reporting requirements are satisfied.
-- Assist with yearly audit preparation.
-- AA degree or equivalent, bachelor's degree preferred.
--Minimum 2 years of work experience in medical device company
customer service or administrative position.
--Experience in startup environment helpful.
--Excellent writing and communication skills.
--Keyboarding and data entry.
--General knowledge of accounting.
--Microsoft Office Suite, Excel, PowerPoint, QuickBooks experience
--Exceptional communication and interpersonal skills.
--Reliable, self motivated team player capable of proactively
managing day-to-day responsibilities.
--Detail oriented with excellent organizational skills.
--Ability to interact in a professional manner.
