Executive Assistant to Memphis Senior Leadership Team

With an Internet based connection to an ever-expanding set of capabilities, efficiencies are gained which make it unnecessary for customers to invest in digital print infrastructure and staff.
To complement our rapidly growing business we are seeking a highly motivated individual to join the team as Executive Assistant to our Memphis Senior Leadership Team based in Memphis, TN. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and must be able to work independently with little or no supervision.
Specific Responsibilities:
- Manage telephone activity, respond to correspondence and inquiries on behalf of senior management; disseminate information where necessary
- Coordinate extensive travel arrangements and process expense reports for senior management; schedule management, and appointment coordination
- Be responsible for heavy calendar management, requiring interaction with both internal and external staff, vendors and customers
- Coordinates activities for onsite and offsite meetings to include ordering food, working with vendors to setup, etc.
- Prepare PowerPoint presentations, manage Excel spreadsheets
- Maintain various status, project management and personnel reports
- Finalize, format and proofread correspondence, documents and communication
- Collect information in a professional and discreet manner; evaluate issues; take appropriate action solutions
- Liaise with senior management, Executive Team, and Board Members; serve as active resources for others
- Successfully navigate within the organization; build rapport among co-workers and outside parties
Required Experience and Skills:
- Bachelor's Degree preferred.
- Highly organized, punctual and superb attention to detail
- 5-7 years administrative experience in a fast-paced environment
- Advanced Microsoft Office skills; strong verbal and written communication skills
- Strong typing skills are required
- Excellent grammar required, both when writing and speaking.
- Demonstrated ability to multi-task and function as a discreet gatekeeper while maintaining confidentiality
- Demonstrated ability to respond quickly to changes in priorities and direction
- Enthusiastic, team oriented, and self-motivated
