Job Description
This position is to be the Executive Assistant for our Founder, Scott Martineau. This executive assistant role will not only completely take away administrative burdens from Scott but will proactively look for ways to increase Scott's efficiency and effectiveness. Alignment with the Purpose, Values and Mission of the organization are required in every role of the company, but the importance of this alignment is especially critical for this role.
Responsibilities Include:
Needs an "owner" mindset. Willing to drive through barriers (tactfully) to get results.
Needs to be an extension of Scott's tone and style. Cheerfulness and positive demeanor, real with people.
Needs to anticipate needs and be self-guided.
Needs an active contributor who will have opinions and contribute to the strategy and tactics of team. Will advise Scott and participate in strategic conversations.
Provides diverse administrative support, including handling matters of a critical or confidential nature.
Handles sensitive and confidential information with tact, diplomacy, discretion and judgment.
Writes and edits business communications.
Prepares reports, spreadsheets and presentations, which may require the gathering of data from various internal and/or external sources.
Coordinates venues and meals for executive off-site meetings and various company events.
Integrates well with the team leads and team members to understand the department's needs.
Reviews and prioritizes incoming mail and replies directly to general, non-technical inquiries or brief correspondence.
Executes special or continuous research and data analysis tasks.
Analyzes problems, determines approach, compiles and analyzes data, and prepares reports/recommendations.
Help prioritize Scott's time and stay focused on the most valuable activities
Informs Scott of daily schedule, providing background information for meetings, special activities, and presentations.
Coordinates travel arrangements and compiles expense reports for submission.
Coordinates and organizes itineraries for visitors including pickup and drop off.
At times, may help Scott with personal errands.
Minimum Qualifications:
Bachelors degree
MS Office proficiency
3+ years as an EA
Excellent written and verbal communication skills
Experience successfully juggling and prioritizing multiple projects while adhering to strict time lines in a fast-paced environment
Ability to problem-solve and work with minimal or no direction
Super proactive AND highly responsive
Impeccably organized
Strong team player
Positive, "can do" attitude; self-motivating; always cheerful
Ideal Qualifications:
5+ years as an EA to the Founder of a larger company

Software industry experience
Experience interacting with a board of directors and executive teams
MS Office expert
Copywriting skill
Marketing or sales
Travel
