Exhibits Manager Globus Medical
The Exhibits Manager will be responsible for coordination of all domestic and international tradeshows and Surgeon society meetings from strategic planning through logistics. This role requires interaction with various levels of management and departments. Strong attention to detail, exceptionally organized and excellent budgeting skills are a must.
Plan, organize and coordinate Globus participation in Surgeon Society conferences and trade shows.
Work with management and outside tradeshow vendors to ensure strategic plan is in place and implemented for tradeshows.
Responsible for the implementation of all tradeshow activities - includes space reservations, hotel reservations/ blocks, badge ordering, show rentals and services, order entry, shipping, and arranging for the set up and tear down.
Manage any additional on-site events like workshop, labs, in-booth presentation or receptions
Main liaison between corporate staff and sales personnel who are working the shows.
Set up and maintenance of shipping schedule for all shows. Responsible for ensuring all materials are shipped to show. Work with van lines, common carrier and other modes of transportation for lowest cost and best service.
Coordinate marketing recommended materials and designs with exhibit house on layout, drawings, labor, etc on major shows. Coordinate tradeshow activities with show management for all shows.
Create comprehensive show file for each show director prior to show.
Assist in planning yearly tradeshow schedules.
Maintain all exhibit book and tradeshow files.
Responsible for creation of various tradeshow schedules and reports via Excel spreadsheets.
Maintain all payment files, meeting budgets and reconcile monthly credit card bill and invoices.
Attend tradeshows as necessary. Work as set-up/tear-down point person.
Communication of all meeting details to attendees.
Maintenance of all meeting information (meeting details, attendee tracking, badges, hotels, equipment required, speaker arrangements). This includes a meetings database (excel/access) and a corporate calendar.
Work with Product Development and logistics to secure product and equipment for demonstration purposes at meetings
Special projects and duties as assigned
3-5 years of current, relevant meeting and event management experience and/or trade show coordination; tradeshow experience strongly preferred
Excellent verbal and written communication skills.
Ability to learn quickly scientific and technical knowledge
Proven aptitude for quick creative thinking with acute attention to detail within demanding deadlines
Ability to multi-task on multiple projects simultaneously, prioritize timelines and meet deadlines
Exceptional sourcing and negotiation skills
Ability to recognize problems and to take appropriate actions toward solutions
High degree of computer literacy and proficiency in Microsoft office suite
Self-motivated positive individual that will work as a team player
Proactive with fresh ideas and creative solutions
Ability to coordinate the efforts of a divergent group of people to achieve specific goals
Excellent interpersonal skills, decision making and customer service skills required
International event and meeting planning experience is a plus
Manage logistics and vendor communications for a series of international, domestic and local meetings
Must be able to lift 25 lbs
Ability to travel 35%
