The Facilities Associate, Operations will:
Work closely with the Facilities Manager to support all facilities activities which include but are not limited to Corporate Real Estate projects, vendor/contract management, invoice approvals, budgeting, oversight of employee compliance with internal policies, filing and tracking of all facilities related documents (i.e. correspondence, contracts, leases, service agreements, etc.).
Be the first point of contact for Axiom staff seeking support and information related to day to day facilities operations in the US and/or abroad.
Provide support to the Facilities Manager and the Facilities organization, manage office functions including: Office Maintenance requests, security badge and access assignments, daily office operations, coordination of budgeting/accounting systems, maintaining office records, and providing general support services to Axiom staff.
Under the supervision of the Facilities Manager, manage all outside contractors in support of the Facilities Department, including maintaining records and contracts, coordinating project activities, and providing scheduling support for facilities and maintenance projects.
Coordinate training and informational correspondence for all Axiom Team Coordinators pertaining to facilities related processes across all Axiom offices
Our ideal candidate
3-5 years as an Office/Facilities Manager in a corporate environment
Extremely detail oriented
Must have experience in the following areas: liaison with building management, management of vendor relationships, corporate purchasing, management of corporate policies, space planning. Some experience with office build outs is a plus.
Must be open to and interested in traveling up to 25% as the business needs dictate.
Required Knowledge, Skills and Abilities
Proficiency with MS office (Word. Excel. PPT is a plus)
Knowledge of Building Management structure and basic operations
Basic knowledge of corporate purchasing programs and service providers (i.e. office supplies, maintenance service agreements, car service, furniture vendors, travel providers, etc.)
Basic Knowledge of finance/accounting (i.e. standard terminology, process, ability to work with numbers, etc.)
Basic knowledge of office technology (i.e. printers, copiers, telecomm, reception, etc.)
Good interpersonal skills (i.e. ability to work in a team environment and communicate with staff across all levels and geographies)
High organizational skills
Independent and creative thinker. Ability to think outside the box
Ability to work independently
Excellent customer service skills
Associates degree required or equivalent work experience in a related field.
