With minimal supervision, the Facilities Coordinator is charged with assisting the Office Manager in managing resources toward timely, efficient and cost-justified solutions to facility, general service requests in a fast-paced, operational environment. The Facilities Coordinator provides daily support services and oversight to include: facilities/project management, maintenance/repairs, workplace safety, emergency evacuation activities, office services, general procurement, housekeeping and vendor management. The Facilities Coordinator will possess working knowledge of building systems and the ability to prepare and monitor operating and capital expense budgets.
Responsibilities (included but not limited to):
Assit office manager by:
Ensuring facilities are operated and maintained in a safe, professional and cost-effective manner
Meeting cost saving targets through establishment of budgetary controls, saving opportunities and tracking reports
Ensuring projects, objectives and schedules are met
Managing office service requests, prepares and monitor capital and expense budgets, process invoices, provide facilities management activities
Overseeing custodial services, food service operations and the repair of facilities and equipment
Overseeing work maintenance installations including carpentry, electrical and plumbing
Creating and implementing action plans for preventive maintenance
Working closely with contractors, architects and engineers on facility-related projects and monitor vendor performance
Inspecting and evaluating building systems, grounds, equipment, etc.
Preparing and maintaining building checklists and maintenance/PM records
Being responsible for all invoice coding and processing, logging all information into budgets and keeping them up-to-date on a daily basis so we always know how the department is tracking
Assisting Office Manager with all move requests (coordinate/manage IT staff upon approval), assisting in restacking/office moves
Assisting Office Manager and manage day-to-day updates/relocations, name changes, floor moves and weekly vacancy reports in 41Where
Managing conference rooms ? overseeing daily maintenance, specific set ? ups / breakdowns and layout requests; work with Millennium team to ensure proper manpower is in place to meet business needs on a project-by-project basis (larger meetings or multiple meetings may require more manpower)
Managing off-site facility storage facilities (visit sites, ensure we are only paying for business-critical items in the warehouse), liquidating any items that do not need to be in the warehouse, or work with appropriate in house teams to disperse
