Responsible for organizing and coordinating the daily operations and procedures of the physical facility in order to ensure organizational effectiveness and efficiency. This includes maintaining office services and efficiency, supervising office staff and maintaining office records. Coordinates various office support services, including maintenance, cleaning services, furniture and fixtures and facilities management. Manages vending relationships in all offices. Coordinates office modification projects, including managing building contractors and internal stakeholders. Works with outside contractors on building and equipment repairs. Manages the facilities budget and the budget for any office modifications.
Responsible for purchase of office supplies and related goods and services for corporate headquarters.
Interface with landlord and various furniture vendors to address and resolve issues related to the office, including but not limited to staff relocation, maintenance issues, minor build outs and general office concerns.
Supervise the receptionist staff in Jacksonville
Coordinate with office manager in Texas office for buildout or maintenance issues
Responsible for buying, storing, and distributing office supplies in Jacksonville and Dallas offices
Work with Finance on budgets for contracts, equipment, and supplies
Monitor the office facility to ensure that it remains safe, secure, and well maintained
Oversee the maintenance and repair of furniture, fixtures, electrical and mechanical systems
Responsible for coordinating space allocation
Manage vending relationships
Coordinate office modification projects (including office buildouts)
Perform other activities such as audio-visual (AV) set up for meetings or conferences, inter-office mail deliveries, waste paper recycling, and stocking of employee break areas
Assist in hosting corporate visitors/dignitaries.
Manage facilities budget
WORK EXPERIENCE & SKILLS (Required)
At least 5 years of facilities administration experience.
Manage internal and external relationships effectively.
Able to align internal stakeholders.
Leadership and communication skills.
Analytical, problem solving and facilitation skills.
Excellent written and verbal communication skills.
Ability to work independently under minimal guidance.
Demonstrated ability to use discretion and make sound decisions.
Experience of working with various office equipment (PC?s, printers, copiers, fax machines, telephones) and support/coordinating maintenance of their operations.
Organized, with a keen attention to details
Ability to work with all levels of employees at various locations including senior management & executives
Able to work successfully under pressure, able to multi-task and maintain composure & professionalism in an environment with frequent interruptions
Must be flexible and embrace change
WORK EXPERIENCE & SKILLS (Preferred)
Experience working in a professional office location and/or technical environment
EDUCATION AND CERTIFICATION (Required)
Associates Degree or 1-2 years of college or 2 year post secondary business school or equivalent work experience
