Front Desk Associate
Summary of Responsibilities: As the first contact for many clients and business associates, the front desk associate will be responsible for handling incoming calls and visitors in a friendly and professional manner.
Answer, screen and direct calls on busy multi-line phone system
Meet, greet and sign in incoming visitors and inform staff of their arrival.
Sign, accept and route delivery packages from various couriers and notify appropriate employees for pick-up
Manage the routing of incoming faxes
Manage conference room scheduling through our internal systems
Keep front desk lobby area and Board Room neat and organized and stocked with supplies.
Must be extremely dependable to open the office for the early morning 6:00am ? 2:30pm schedule.
Business Card Order? Order business cards for new hires. Review request for reorders/reprints for additional business cards for employees
As needed may collate/stuff invoices for outgoing mail; May collate and stuff initial disclosure documents for outgoing mail when necessary
Provide support to Client Care department by assisting callers with simple tasks in Encompass 360
Update GAL Manager and Outlook to reflect changes in personnel information
Review and respond to Facilities Help Desk tickets
Communication with property management company and janitorial service to resolve building needs
Maintain kitchen, coffee, water service vendor relations: Supplies, repair and maintenance schedules/needs
Qualifications, Experience & Skills:
At least 3 years of experience answering multi-line phone system in a fast-paced professional office environment.
Prior experience managing front office duties, performing general administrative/clerical tasks.
Friendly and articulate verbal communication skills.
Computer experience: Word, Excel, Outlook, FedEx Ship Manager.
Types a minimum of 40 wpm.
Punctuality and dependability a must
Business maturity, a positive attitude and an enthusiastic and professional demeanor
Excellent verbal and interpersonal communication skills
Ability to work in a fast-paced and dynamic environment is essential
Customer-service oriented and a team player, exhibits can-do attitude to take requests and perform with minimal supervision
