Front Desk Receptionist General & Administrative | Chicago, IL, United States Marin Software is seeking a committed, high-energy, detail-oriented Office Manager to help the Company's growing Chicago office run smoothly. This newly created position blends interacting with Marin's visitors, clients and employees with other key office management responsibilities, administrative tasks and special projects, so that the day-to-day office and Company needs are met in a timely, professional and resourceful manner. The position will report to the head of Marin's Chicago office, with a dotted line reporting relationship to the Global Facilities Manager. Responsibilities:
Overseeing the smooth day-to-day running of the 15 to 20 person Chicago Office
Welcome visitors and create a hospitable environment in Marin's office
Create, own and negotiate all vendor relationships
Manage the relationship with building management and building security
Facilitate consistent communication with San Francisco headquarters and Chicago office
Answer, screen and direct all incoming calls
Arrange food orders and catering for client and internal meetings
Receive, sort and deliver mail and incoming deliveries (FedEx, UPS)
Tidy, clean and maintain the reception area and conference rooms daily â€" ensure all lights and projectors work
Receive incoming faxes and sort for distribution
Coordinate kitchen and office supplies with Marin's vendors
Place service orders for printers, fax and copy machines
Provide recommendations to improve policies and company process and safety for employees
Providing general administrative support to the team
Assist IT Manager with ordering new IT equipment for staff
Assist with on-boarding of new employees
Assist with facilitating employee travel with Marin's travel agent
Submitting purchase orders for office expenses and approving invoices for payment
Processing office credit card expenses
Other ad hoc projects as needed
Requirements:
BA/BS degree preferred
Excellent interpersonal and communication skills, with strong attention to detail
Own projects from start to finish with minimal supervision
Strong customer service skills and techniques to successfully build and maintain positive customer relations and provide quality service
Professional skills to handle sensitive and difficult situations with diplomacy
Strong commitment to collaborative work
Self starter who embraces technology
High degree of organizational and time management skills with the ability to independently follow through to successful completion of projects within a deadline
Ability to multi-task and distribute efforts appropriately among tasks, manage competing deadlines, handle frequent interruptions and maintain a high level of productivity
Excellent computer skills and strong proficiency with MS Office suite of software
Must have a high degree of confidentiality when handling communications, correspondence and company-confidential documents.

Works well in fast paced with minimal supervision
Strong work ethic and hands-on style; willingness to take on ad-hoc tasks to keep things on track â€" comfort in a start-up environment.
Note: The anticipated work schedule for this non-exempt position will be from 8:30 a.m. to 5:30 p.m., Monday through Friday.
