Requirements:
- Excellent written/verbal communication skills; customer service experience; supervisory experience; accounting experience a plus
- High School education or GED equivalent; college classes or degree a plus
- Systems Expertise: SYSPRO (ERP), Salesforce.com (CRM), Microsoft Office (Word, Excel, PowerPoint, Outlook), Winkey (licensing), Articulate (LMS), Microsoft SharePoint
Summary: The Fulfillment Operations Lead is a working supervisory position, reporting directly to the Vice President of Operations, and requires presence in the Bothell office on a daily basis. Working hours are generally 8:00 AM to 5:00 PM but may occasionally be adjusted based on business requirements.
Duties include active participation in and oversight of the activities listed below.
Order Fulfillment:
- Validate (scrub), book, and process orders including parsing of large combination orders as needed
- Process returns, including issuance of RMAs, coordination with vendors/resellers and coordination with AVST Finance
- Invoice shipments daily
- Expedite orders for systems as needed and assist Tech Support with Emergency Parts Shipments (EPS) as needed
- Filing & Fulfillment document management, including assistance to Finance and Administration with document retrieval as needed
- License new systems and system upgrades
- Technical training administration, including registration, invoicing and student notification
- Customer communication, including email and phone contact with customers, resellers and AVST sales personnel regarding orders for systems, upgrades, parts and technical training
- End User database maintenance at point of sale and, as needed, backfilling historical data
- Shipping and receiving for Bothell office orders and coordination of shipments for other Bothell based departments
- Supervision of Fulfillment Operations personnel, including scheduling, training and providing input to management during the employee performance review process
- Weekly status report to Operations management, other reports, as needed, and participation in Operations management meetings
Supply Chain:
- Provide monthly forecast on projected quantities for critical items to Product management and key supplier
- Electronically transmit validated orders to suppliers and post-processing confirmation
- Publish daily invoice control report
- Manage inventory and provide weekly report to Operations management
- Prepare, ship and track Hardware locks (license enforcement devices)
- Manage part number database in ERP, including issuance of new part numbers, as needed
- Maintain of BoMs in ERP and coordinate management of BoMs with key supplier
- Request and manage quotes for extended hardware maintenance from key supplier
- Receive and process purchase requests from other departments, obtain approvals, issue/manage purchase orders
- Filing and document control
- Reports, as needed, for AVST Finance and other departments
Office Administration:
- Manage office supplies, including lunch room provisioning, vendors for coffee and vending machines
- Coordinate company functions (local event planning)
- Telephone and front door reception
- Petty cash management
