Summary
Under the direct supervision of the HIM Supervisor/Manager, the HIM Technician I is responsible for performing various clerical functions that include, but are not limited to filing, faxing, photocopying, scanning, mail delivery, bar coding of charts, labeling charts, quality assurance of outpatient charts, sorting loose reports, pulling and delivery of charts, answering phones, purge files as needed, assisting the transcription process and assisting visitors to the department. A minimum of 98% accuracy is expected for all tasks.
Locates, signs out, retrieves and delivers medical records as requested.
Prepares folders, verifying accuracy of medical record number to patient identifiers, and maintains records of newly admitted patients
Bar codes folders.
Files and does quality control on loose documents, within the outpatient chart, prior to patient?s appointment.
Accurately sorts/files all ?incoming? loose reports by terminal digit.
Receives and records requests for Medical records and retrieves medical records. Request charts from off-site storage facilities, etc. and tracks receipt of charts. Photocopy medical records for release of Information.
Files dictation and loose reports in charts within established time frames and in date sequence.
Files/re-files medical records in the appropriate areas within the department.
Distributes transcription reports, which include mailing or faxing, as appropriate.
Maintains referring physician file and staff physicians mailing address for accurate mailing of transcribed reports.
Reviewing dictation/transcription systems for status of dictations and transcribed reports.
Monitor all transcription work types to ensure timely transcription of all reports as required by JCAHO.
Sorts and/or delivers department mail.
Scans medical records and/or required documentation.
Updates the HIM chart tracking system for chart location as needed.
Assists visitors and physicians and answers phone as needed.
Assists with other projects and reports as needed.
Maintains strict physician and patient confidentiality.
Supports Precyse's Compliance Program by demonstrating adherence to all relevant compliance policies and procedures as evidenced by in-service attendance and daily practice; notifying management when there is a compliance concern or incident; demonstrating knowledge of HIPAA Privacy and Security Regulations as evidenced by appropriate handling of patient information; promoting confidentiality and using discretion when handling patient information.
Reviews materials, complete all required Precyse/Hospital policy training documents and pass required tests.

High school graduate or equivalent experience required.
Minimum one year of previous office clerical or administrative experience preferred.
Minimum one year of previous hospital or clinic experience preferred.
Proficiency with hospital HIM computer systems preferred.
Knowledge of MS Office preferred.
Knowledgeable in the use of printers, photocopiers, filing, and fax machines.
