THIS JOB HAS EXPIRED Summary: The Human Resources Assistant will have significant responsibility in the following areas: providing excellent service to internal business partners and external customers, maintenance of personnel files and I-9s, assisting with payroll related functions, 401(k) and benefits administration, onboarding of new team members, coordination of training seminars, and general administrative support for the Human Resources department.
Reports to: Senior Director of Human Resources
MINIMUM QUALIFICATIONS AND REQUIREMENTS:
Bachelor?s Degree or equivalent professional work experience, preferably in a start-up or technology company.
Two years? experience as a Human Resources Assistant, Analyst or Generalist.
Will have a working knowledge of federal and state laws, including case law and regulations, such as, Title VII, FLSA, ADA, FMLA, ADEA, and EEO.
Demonstrated ability to handle sensitive and confidential situations with tact and diplomacy, maintaining the highest confidentiality and professionalism on all matters.
Experience and competence in leading, influencing and coaching others in the absence of direct reporting relationships.
Is an enthusiastic team player with a strong drive to create a positive work environment.
Fast learner, able to readily apply knowledge gained in one situation to others.
Effectively handles challenging and sensitive personnel situations, while exhibiting sound logic and judgment.
Strong self-awareness and emotional intelligence. Must be approachable, patient, helpful and remain calm under challenging circumstances and be positive and adaptable to frequent interruptions.
Ability to work independently and process a high volume of error-free, detailed work.
Must possess analytical and problem solving skills.
Self-motivated with a high level of initiative and a sense of urgency. Must be flexible to continually prioritize other HR issues as they arise.
Excellent listening and communication skills; both orally and written.
Advanced skills with MS Office. Experience with web conferencing tools. Knowledge of HR Technology (i.e., Jobvite, TalentWise, DocuSign, Blue Cross portal and ADP).
Regular, reliable and punctual attendance.
GENERAL DUTIES AND RESPONSIBILITIES:
- This is a representative list of the general duties the position may be asked to perform and is not intended to be all-inclusive.
Assist external customers and internal business partners by answering questions related to routine interpretation of company policies and procedures. These inquiries may also involve researching programs, policies, and procedures.
Onboard new team members, including facilitation of new hire paperwork, company tour and group new hire presentations.
Maintenance of personnel files and I-9 forms.
Ensure all employee data is accurately reflected and submitted timely into database.
Assist with special projects, programs and company sponsored activities, such as, benefits (including annual open enrollment) and 401k enrollment, wellness program and training initiatives.
Track and analyze internal metrics and deliverables by creating and utilizing Excel spreadsheets and other HR databases.
Process employment verification requests.
Support ad hoc and unplanned administrative and / or project duties for the HR Department and Internal Clients.
Respond to day to day team member inquiries with prompt issue resolution.?
Implement processes in an effort to continuously evolve the HR department?s practices.
SCOPE OF SUPERVISION/AUTHORITY:
Responsibilities are performed with limited supervision from the Functional Manager. This position is a professional position that requires self-direction and ability to work autonomously. The selected individual will ensure internal policy compliance, as well as state and federal legal compliance.
Decision-making authority is broad due to the scope of assignments. The selected individual will analyze and resolve problems, interpret policies and demonstrate solid knowledge of processes and protocols. Will use own independent discretion to determine solutions outside of company policies and procedures.
The physical demands are representative of an employee to successfully perform the essential functions of the job.
This position is mostly sedentary and will occasionally be required to lift up to 10 pounds. The lifting will involve carrying, pushing, pulling or otherwise moving objects. Infrequently, will be required to lift up to 20 pounds to move boxes or equipment related to HR items and documents.
Dexterity of hands and fingers to operate a computer keyboard.?
The noise level in the work environment is moderate.
Close visual acuity is required in order to prepare and analyze data and figures, transcribe, view computer screens, and read.
