Job Description
The InfusionCon Event Manger will be responsible for coordinating our largest and most important event each year; our annual user conference. In 2013 our attendance will exceed 2,000 people. This position requires someone who is a "juggler", someone with a "can do" attitude and the ability to act as an "orchestrator" to bring others within the organization together to create a whole company event.
Responsibilities Include:
Work with the event committee to develop and monitor timelines and deadlines related to all aspects of the event, ensuring the information is communicated with staff, volunteers and contractors.
Event logistics
Research and contract negotiations of potential event sites
Research and negotiate speaker contracts
Work with internal teams to create the event agenda
Work with internal teams on all registration processes and ticket sale needs
Create sponsorship packages and work with internal/contracted employees to sell and hit sponsorship objectives
Ensure all logistical details of the event including photography, volunteer coordination on-site, speakers, room set-up, audio visual, transportation, housing, food and beverage, BEOs, etc.
Negotiate agreements with outside providers to ensure lowest cost and highest quality of service
Develop and monitor timelines/promotional schedule for events, working with customer communications staff to ensure adequate and proper promotion.
Manage all the promotional aspects of the event
Work with creative on the promotional event website and regularly visit website to ensure all sections are current
Work with creative on all printed materials, i.e. mailers, conference program, etc.
Coordinate and help drive all follow up communications to registrants
Minimum Qualifications:
Large event experience; 1,000 - 1,500 people
Proven leadership skills as a project manager
Bachelor's degree
At least 3-5 years of relevant event planning experience

Strong time management, organizational and leadership skills
Highly energetic multi-tasker with ability to extensively juggle many activities and projects in a fast-paced environment
Demonstrated ability to prepare accurate budgets and manage expenses accordingly
Excellent Project management and problem-solving skills
Cross functional collaboration skills
Proven negotiating skills with hotels, entertainers and other event vendors
High level of verbal and written communication skills
Travel
