The Inventory and Communications Specialist serves as the focus for equipment orders for upcoming activations. Their role is to receive and process orders and ensure that all shipments are going out on time before service delivery occurs. This encompasses domestic as well as international orders.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Must be able to formally capture equipment orders and shipping requirements within internal systems.
Verifies service implementation detail with the customer for each service location to ensure that order details are accurate.
Provides a Project Management function to ensure that orders are properly sequenced, addressed and ready to ship. Coordination requirements may include working with customers to ensure shipment locations are clear and correct, works with multiple carriers for find best shipment solution for customer. Updates all necessary systems for inventory assignments.
Works domestic and international carriers as well as with customs agents and brokers when necessary in order to facilitate imports into foreign countries. Is familiar with import laws of other countries in order to ensure a smooth import process. Works with specialized carriers for delivery in difficult to import countries. Ensures that all shipments arrive at final destination as expected.
Coordinates with internal resources such as Service Implementation Manager, NOC T2, Inventory, Receiving, Shipping clerk to ensure that equipment orders are ready to be assigned, configured and shipped in a timely fashion. Coordinates with external resources, such as Inventory depots worldwide and Inventory Staging locations for equipment that is not shipped from headquarters.
Purchases Inventory for the department. Ensures PR approvals and that POs are sent to vendors in a timely manner and equipment is received. Updates necessary purchasing systems.
Reporting and Meeting Management
Produce weekly reports to review the status of activity on orders.
Must act as an advocate for customers to ensure that critical needs are met. Proactively engage their management team as required to bring the requisite forces to bear on specific issues that may be customer impacting. Timely and regular communications with customers is essential.
This job has no supervisory responsibilities.

Education and/or Experience
Five years related experience and/or training; or equivalent combination of education and experience.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence.
Ability to communicate effectively.
Good written skills a must.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Ability to apply concepts of basic algebra and geometry.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software.
5+ years of relevant telecommunications experience plus, including:
Experience in order coordination in a production, process-oriented organization.
Experience managing projects, orders and workflows
Experience in domestic and international shipments.
Ability to physically handle and lift boxes of equipment ranging from 1 ? 20 lbs
Customer communications skills
Time management and complex task organization
