Learning & Development Coordinator CCS Medical Holdings, Inc.
Overview:
Administrative support for the Learning and Development (L&D) and Human Resources (HR) teams including a variety of administrative support tasks, program tracking and reporting, scheduling training initiatives and resources, and supporting workers compensation administration and health and safety initiatives.
Responsibilities:
Responsible for a variety of administrative tasks including scheduling rooms, updating forms and calendars, and other tasks as needed for the HR Department
Supports Learning and Development?s training initiatives including coordinating and compiling training packets and materials, results reporting, and surveys
Maintains Professional Pathways program, including paths tracking, pin distribution, and Course Catalog updates
Responsible for timely collection, tracking, and reporting for HR programs and tasks including the OSHA 300, Books 24x7, L&D Library, Professional Pathways, and other training initiatives
Coordinates and tracks all required documentation for Sales new hires
Follows up on workers compensation claims and ensures all of the proper documentation is received and submitted such as drug tests, wage statements and lost time
Ensures workers compensation premiums are paid for Ohio BWC, Washington State, and New Mexico
Provides ergonomic assessments and orders any necessary equipment and supplies
Codes and submits invoices to Accounts Payable
Maintains and orders department supplies including sample products, training materials, and first aid kits
Supports Employee Initiatives and recognition activities
Coordinates regular interoffice mail for L&D, Payroll and Benefits areas
Serves as Back-up support of the reception area and HR Coordinator, as needed
Maintains a high degree of confidentiality at all times due to access to sensitive information
Maintains regular, predictable, and consistent attendance
Other Duties:
Maintains and promotes patient confidentiality
Maintains open lines of communication with organizational leadership and inter and intra department management and personnel
Follows all Medicare, Medicaid and Private Insurance regulations and requirements
Actively participates in Continuous Quality Improvement
Assumes other duties and responsibilities as assigned by manager
Abides by all departmental, Employee, and Company policies, procedures and standards
Maintains scheduling flexibility to ensure availability to meet the needs of the department for all hours of operation
Qualifications:
High school diploma or (GED) equivalent
Two or more years? administrative assistant experience or equivalent combination of education and experience
Proficient with various Microsoft Office software such as Outlook, Word, Excel and PowerPoint and computer literacy
Flexibility to adapt to changing environment and different learning styles
Ability to read and interpret documents such as safety rules, governmental regulations, and procedure manuals
Ability to write routine reports and correspondence
Ability to speak effectively before groups of customers or employees of the organization
Ability to add, subtract, multiply and divide all units of measure, using whole numbers, common fractions and decimals
Ability to compute rate, ratio and percent and to draw and interpret bar graphs
Ability to make decisions in accordance with laws, regulations and established policies
Ability to deal with problems involving several concrete variables in standardized situations
Ability to deal tactfully and courteously with employees at all levels
Strong attention to detail, multi-tasking, communication and organization skills are essential
