SUMMARY OF RESPONSIBILITIES
Serve as the Liaison Manager to SVPs, to oversee process change and drive process efficiencies in the field and development organizations by assisting Sales, Services and Product Development/QA organizations. Responsible to track legal queues and reporting on cross departmental programs for performance, hiring, onboarding, process improvement, ERP projects, customer escalations and customer sat. Act as the liaison between the remote teams, vendors and HQ.
Additionally, provides administrative support to include: managing phone, calendar and scheduling; filtering and responding to mail and email; preparing and updating daily reports; organizing and preparing documents as needed, including expense reports; communicating and coordinating with other personnel within the organization.
Managing reporting and tracking departmental budgets. PO's. Invoice approval processes. Staff requisitions etc. Basically helping manage the departmental business
Assist with career development, team building activities
Organize and manage cross functional leadership summits and meetings
Work with program management to define metrics and create reports to serve SVP?s needs
Manage the calendar and schedule to make certain that identified priorities are addressed in a timely fashion, helping to ensure that use of the SVP?s time is focused on critical, strategic issues;
Screen and coordinate communications, track and follow up on requests, identifying those of importance which require attention;
Analyze daily data reports, confirm all are refreshed, print and organize
On behalf of the SVPs, follow up with appropriate staff to ensure requests and correspondence are responded to on a timely basis; establish tracking/feedback system to ensure issues are recorded, addressed and resolved;
Coordinate scheduling between the SVPs and the Direct Reports to ensure timely resolution of critical issues and other matters; facilitate the resolution of pending issues and requests from the Direct Reports, ensuring that priority matters are brought to his/her attention.
MINIMUM EDUCATION/TRAINING REQUIRED
At least two years of college or training, Bachelor?s degree preferred.
10+ years? experience supporting C level executives. Candidate with technology company experience preferred
Excellent organizational and prioritization skills, with the ability to balance multiple issues and projects in a fast paced environment
Proficiency with Microsoft Outlook, Word, Excel, PowerPoint and other software;
Excellent writing and verbal communication skills;
A high degree of discretion, judgment, tact and poise;
Good analytic skills
Keen attention to detail;
Strong typing and word processing skills;
Proficiency in the use of standard office equipment such as printers, faxes, scanners, etc.
