The ideal candidate will be experienced in handling a wide range of office and facilities support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, and enjoy the challenges of supporting a growing office of diverse people and programs. The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, positive, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
Further, he/she will be responsible for the daily operations for the management of the facilities while maintaining the building are in safe and workable conditions relative to heat, light, power, air conditioning, and other broad environmental related issues. Additionally, Manager must ensure all required and scheduled maintenance is completed personally and through staff direction. All duties must be performed in accordance with company policies and procedures, state and federal laws, such as OSHA, etc.
This person will be the ?face? of our Arizona office and be looked at to problem solve and consistently deliver for the company.
High level calendar management skills, including the coordination of complex meetings (both internal & external), flights, travel, hotel, car booking, etc.
Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
Demonstrated ability to maintain confidential and sensitive data
Schedules and monitors routine facility maintenance including: janitorial, landscape, pest control, document shredding, vehicle and equipment maintenance
Primary point of contact for contracted facilities vendors and monitoring PHI compliance
Evaluates performance of, and makes recommendations to management for renewal and/or replacement of facility vendors
Maintains and monitors service contracts, and inspection, maintenance and other facility-related logs, including building and facility systems and services, and office equipment
Monitors and ensures readiness of conference rooms, break rooms, restroom facilities and all public access spaces and training rooms
Ensure that all equipment is accounted for and working properly
Leads the selection of facility and maintenance related service providers on a periodic basis: determines requirements; evaluates and recommends vendors; plans, schedules and monitors work while managing to a budget
Coordinates and facilitates office moves and reconfiguration projects (in close coordination with IT)
Supervisory responsibilities to include: directly supervise employee(s), temporary staffing and contractors. Responsibilities include: interviewing, hiring, and training of staff; planning, assigning, and directing work assignments; performance management; addressing complaints and resolving problems
Recruiting coordination for a wide-variety of positions on an ongoing basis as we look to aggressively staff our Arizona location
5+ years? experience supporting at the executive level and/or office management experience
3+ years of facilities and/or property management experience
Experience leading the selection of new and replacement of office equipment: determines requirements; evaluates and recommends vendors; plans and schedules acquisition and installation
Proactive and exercise sound judgment and decision making
Demonstrated ability to identify problems and needs, and develop solutions and/or options
Exceptional time management and organization skills
Experience and success in working well with diverse personality styles
Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
Self-confident, self-motivated with a polished and approachable professional demeanor
Experience scheduling travel arrangements for senior leaders
Experience successfully creating and/or modifying a processes
Marketing experience is a plus
Good interpersonal communication
Ability to adapt to a constantly changing environment
Attention to detail
High school diploma or equivalent (minimum requirement)
A bachelor's degree (optional but preferable to move up to higher positions)
