We are looking for a high energy individual who has a ?Can Do Attitude,? is motivated to support daily operational activities and has a polished and professional presentation and demeanor. This candidate should have general administrative experience, desire to promote Best Practices, ability to handle multiple priorities and coordinate various assignments while maintaining poise. Also have excellent customer service skills, ability to work independently and strong organizational, time-management and communication skills.
Specific Responsibilities Include:
? Maintains excellent customer service with vendors, colleagues and clients; demonstrates a modest, pleasant and professional appearance.
? Controls all visitor access badges and collects necessary paperwork.
? Performs all receptionist functions including answering incoming calls in a professional and timely manner and transferring calls to the appropriate employees; takes messages when appropriate and delivers to the appropriate employees. Maintains company voice-mail.
? Ensures timely, accurate and professional resolution of all inquiries and requests. Executives may make requests at times that require timely, accurate and professional resolution.
? Orders and monitors all office and kitchen supplies and equipment from vendors and independent sites, including coordination of remote office supplies / vendor ordering.
? Organizes and maintains overall office appearance in a clean and orderly manner.
? Maintains mailboxes, shipping/receiving, stocking of postage supplies and distributing faxes.
? Respects confidentiality in discussing customers, visitors and employee matters.
? Assists with facilities preparation for new employees (name and mailbox labels, office space set up, supplies/business cards).
? Assists in coordinating events/meeting planning and execution to include set up of seats/tables, ordering and set up of food/drinks, and cleaning meeting area after meetings have concluded.
? Managing phone list and other company-wide information and communication.
? Schedules meetings, submits weekly credit card receipts to Accounting, assists in reviewing monthly invoices and updates Travel Policy as needed.
? Assists Executive Assistant with travel, research, expenses and misc projects as needed.
? Ad hoc projects as assigned.
Skills and Qualifications:
? Extremely professional interpersonal and written communication skills and ability to interface at all levels, including with Datalogix management team, Board of Directors and clients.
? 2+ years experience in facilities or office administration/office management
? Experience that demonstrates the ability to manage multiple tasks and work independently with minimal supervision
? Strong attention to detail and accuracy
? Excellent time-management and customer service and organizational skills
? Excellent oral communication skills with the ability to handle stressful situations in a calm and professional manner
? Solid Microsoft Office skills (Word, Excel, Outlook); Internet savvy
? Demonstrated ability to self-motivate and complete tasks independently
? Proven flexibility to perform a broad variety of responsibilities in a very dynamic environment
? BA/BS degree preferred
