The AnDiaTec division of Quidel GmbH in Kornwestheim researches, develops, and manufactures medical diagnostic tests. We have an opening for an Office Administrator who is responsible for a wide range of tasks to assure smooth and efficient operation of the office. This position is full time, 40 hours per week, five days a week. Key activities include:
Visitor reception and service, as well as management of incoming telephone calls.
Organization of the general email account and distribution of messages as appropriate.
Composition of dictated letters and inquiries.
Maintenance and reconciliation of customer and/or vendor accounts.
Preparation of bookkeeping activities ? including billing and cash application of accounts receivables and vendor invoice coding and payments to vendors ? and transfer of necessary documents to external accountant.
Mail sorting and distribution.
Coordinating order management
Order Entry into system
Order acknowledge to customers
Dispatch of packages and organization of couriers and transport. Handling of customs declarations and formalities.
Minimum two year university/college degree preferred plus at least two years? experience in an administrative role with emphasis on order processing, customer service, or administrative support.
Effective written and oral communication in English and German required; additional language skills welcomed.
Previous experience in office management for international enterprise desirable.
Experience using Datev for order-to-cash and procure-to-pay processing.
Dependable, creative, self-motivated, mature, flexible individual with strong work ethic.
Attention to detail, with sustained accuracy in numerical problem analysis and problem solving skills.
Knowledge and understanding of accounting processes and theory. Proficiency with 10-key and expertise working with personal computers.
Experience with MS Office Suite of products, especially Word, Excel and PowerPoint.
High degree of ethics and professionalism while interacting with customers, vendors and co-workers.
Exceptional organizational skills and ability to handle multiple, high priority projects calmly.
Flexibility in adapting to a rapidly changing environment to work with others in a professional and effective way.
