We are currently seeking a talented, experienced Office Assistant to keep our team humming! This full-time position is based in San Francisco; no relocation reimbursement is available.
WHAT YOU?LL DO:
With enthusiasm and grace, answer and screen incoming calls, handle inquiries and route calls to the appropriate employee, and manage the general voicemail box
Warmly greet all visitors to the office, and coordinate incoming and outgoing mail and deliveries
Manage conference room scheduling
Assist other key support staff with planning /preparation and set up for board and staff meetings and other office monthly and special events
Assign office fobs with appropriate access to employees/consultants as needed, maintain adequate supply of fobs, and remove access to office as needed
Handle parking pass requests, distribute new passes, and retrieve passes from former employees/consultants
Maintain an adequate supply of essential office and kitchen goods for all CSM locations on a weekly basis Update supply request forms as needed
We run on coffee and soda(!), so you?ll keep everyone happy by making sure coffee and soft drinks are available throughout the workday, and you?ll run the dishwasher on a daily basis and unload as needed (don?t worry, the CSM team helps)
File accounting invoices, journal and other entries, and bank and tax records
Prepare PDF copies of contracts, bank reconciliations, grant agreements, and partner agreements, then file in the appropriate network folders and provide staff with paper copies as needed
Assist with the annual audit by retrieving documents for auditors? review, make PDF copies of documents as needed, coordinate the reservation of a conference room during audit, and request fobs for audit staff as needed
Assist with communications to building management
Process purchases on the organization's credit cards and prepare monthly American Express reports
Provide recommendations to improve the office policies and procedures, forms, purchasing process
Help welcome new employees by giving them information on ordering supplies, using postage machine, outlining our good citizenship rules for common spaces, and training on the use of the phone system and voicemail setup
Print out monthly postage and copy machine usage reports
Update the staff page of the CSM website and staff contact/phone list
Occasionally pitch in to help with equipment set up and minor office repairs
Order and distribute monthly commuter checks; update request form as needed
Assist with coordination of the annual staff retreat
Additional responsibilities and/or tasks as needed
WHAT WE NEED TO SEE ON YOUR RESUME (really!)
2-4 years of relevant experience in a fast-paced organization
College degree preferred
Strong writing skills and excellent communication skills a must have
Strong technical skills and proven expertise in Microsoft Office Suite and HTML experience a plus!
