As the Office Assistant your primary responsibilities will be front desk reception, general office and administrative assistance for a growing company of 300+ employees.Responsibility 1
Provide reception, including answering doorbell, and greeting and directing visitors
Answer phone and directing calls
Provide office ?concierge services,? such as providing general office information to new hires and employees, ordering food, assisting with taxis, parking information, etc.
Issue and maintain building access badges and parking passes to employees
Maintain visitors log and issue and track temporary badges as needed
Handle and distribute mail and package shipments; sign for all delivered courier items; retrieve mail and forward to the right departments; ship documents and packages as needed by staff via UPS and FedEx, manage special deliveries to post office; order supplies as necessary
Monitor and order office supplies
Provide the administrative and clerical support necessary to run the office effectively, including daily support to all staff, proactively offering assistance with issues or concerns as they arise
Ensure that the office areas and kitchens are clean and have supplies by performing daily walk around to meeting areas, supply areas and conference rooms.
Act as the liaison between the company and building management, security, and janitorial staff and be responsible for ordering repairs and sending out notifications to Emeryville staff.
Assist Human Resources will scheduling in-house interviews for hiring managers using the Jobvite Applicant Tracking System
Assist Human Resources with coordinating employee activities, such as the holiday food drive and other charitable events
Book travel for staff and interview candidates as needed
Assist with maintaining office safety, and understand and follow Lithium?s Injury and Illness Prevention Plan and safety procedures to maintain a safe and secure working environment at all times
To be successful in this role, we are looking for someone with:
BA/BS or equivalent
1 year of professional office experience, with proven track record of punctuality and good attendance
Comfortable with a front desk position with the ability to greet people in a professional and congenial manner
Strong organization skills and attention to detail
Strong computer skills, including Outlook, Word, Excel and PowerPoint
Sense of urgency, follow through to completion, detail oriented
Naturally outgoing personality, able to act with maturity and professionalism at all times
Excellent interpersonal skills
Strong verbal and written communication skills
Able to deliver results on time-sensitive projects
