Description
We are seeking an Office Coordinator who will be part of the Covario team working with all department Key Managers and Directors.
Responsibilities:
Answer all incoming phone calls
Greet customers, vendors, clients, employment applicants, and other visitors
Provide clerical administrative support to all departments
Manage employee recognition programs: birthday, anniversary and playmaker programs
Office calendar management, meeting arrangements, and catering coordination as requested
Manage company travel system including assisting with system enrollment, working with local hotels to negotiate preferred rates and loading them into the system, troubleshooting and working with travel representatives as needed
Manage office needs including working with property managers to fill company needs by submitting tickets through the online portal system
Manage electronic files and contracts
Assist CEO and CFO with their respective expense reports
Work with Accounting to reconcile the company Pcard monthly
Maintain front office equipment including copier, fax, and postage meter
Collect and distribute mail, including sending and receiving faxes
Maintain break room and office supply inventories: check stock to determine inventory levels, anticipate needed supplies and verify receipt of supply
Participate and assist in planning of company parties and events
Assist in the on boarding process of new hires
Manage company intranet portal including updating information, managing user profiles and troubleshooting as needed
Manage company monthly All Hands Meetings working directly with the CEO on agendas, presentations and scheduling
Assist with Administrative Projects as requested
Minimum Qualifications:
2+ years prior reception/administrative assistant experience
Expert in Outlook, Excel and Word
Must have excellent verbal & written communication skills along with strong interpersonal skills
Candidate must be able to work in a dynamic and fast-paced environment, ability to multi-task with strong time management skills
Ability to work independently, be extremely organized and detail-oriented
Reliable, proactive, and forward thinking
