Reporting to the Executive Administrative Assistant, the Office Coordinator will be responsible for the day to day operations of the Wayne, Pennsylvania corporate office. This includes general office reception duties, scheduling support to the Vice President of Precyse University and administrative support to office team members on an as needed basis. The right person for this opportunity will be organized and have the ability to provide proactive assistance to management by thinking strategically and acting with professionalism and accountability.
Reception duties including answering incoming calls and routing appropriately.
Scheduling and coordination contact for the VP, Precyse University and other managers as needed.
Building Manager contact for all facility related issues and departmental contact for all office issues.
Coordinates with IT on the internal support systems (phone, internet and networking).
Plans and executes annual holiday event and other events as requested for the colleagues in the Wayne office.
Coordination of meetings as requested including the facilitation of lunches and catering as needed.
Identify, manage and order supplies, equipment, facilities and services necessary to maintain an efficient operation.
Coordination of travel with the travel department as requested.
Support contract administration by editing, formatting and filing as required by Director, Contract Administration
Project work for finance, marketing and other areas as assigned.
Prepare reports, charts, presentation data, or logs as required and according to established specifications. Copy, route and file appropriate documents in an accurate and timely manner. May review, track, complete and/or monitor staff itineraries, calendars, expense reports, or other functional reports as needed.
Perform other support duties as assigned to facilitate the smooth operation of the assigned work area.
Associate Degree with a minimum of 5 years? administrative experience preferred.
MS Office experience required with proficiency in Word, Excel, Powerpoint and related Office products.
Knowledge of Go to Meeting or other webinar tools is a plus
Strong communication skills both verbal and written with a focus on grammar, punctuation and spelling.
Exceptional customer service skills.
Experience managing confidential information
Ability to multi-task in a fast paced environment.
Ability to be a self starter, exhibit initiative and follow through with an emphasis on the finer details.
Highly organized; flexible and willing attitude to complete tasks within deadlines
