We are currently recruiting for an Office Manager who is a team player and willing to handle a wide

Responsible for the organization and coordination of office operations, procedures and resources to
facilitate organization effectiveness and efficiency. Work requires some analysis and use of
independent judgment with access to confidential information and contacts requiring discretion,
judgment, tact and diplomacy.
? Assist with coordination of various events (i.e. Executive Staff Meetings, All Company Meetings,
Sales Meetings, etc.) to include on-site and off-site meetings.
? Review and answer mail and inquiries on own initiative and determine within established guidelines if
action is required. Refer routine matters to appropriate parties for action and follow up to ensure
? Oversee safety requirements for facility and coordinate with contractors and property
management for all necessary repairs, moves, installations, inspections, etc. of HVAC, building
locks and security system.
? Manage vendors associated with many different aspects of services such as plant care, trash
pickup, first aid stations, postage meter, shippers, janitorial services, plumbers, electricians, etc.
? Work with vendors to stock perishable and non-perishable products for the kitchen/office.
? Distribute and maintain inventory of building and office keys, security badges and employee
? Complete responsibility for shipping/receiving to include maintenance of postage machine and
? Maintain and order office supplies.
? Validate, approve and record all invoices for services that fall under the umbrella of facilities.
? Coordinator for AmEx Travel account.
? Handle special projects as assigned.
Business and Technical Competencies:
? Intermediate level in Word, Excel, PowerPoint, and Outlook plus solid knowledge of Internet
? Exceptional verbal and written communication skills, as well as reading and comprehension,
explanation skills and some math skills are required.
? Ability to make routine decisions without consulting management.
? Possess the ability to plan and organize many different tasks simultaneously.
? General working knowledge of standard office machines.
? Prior experience in all aspects of facilities and office management.
Work Experience and Education:
Requires an Associates Degree with 2 ? 4 years of work experience OR a High School diploma and
equivalent work related experience in a facilities or office management position with experience
totaling 6 or more years.
