Office Manager/Executive Assistant Mascoma

Purpose:
Responsible for overall office operations at our new Waltham, Massachusetts site to ensure organizational effectiveness and efficiency; also responsible for providing administrative support to our Chief Executive Officer, our Chief Financial Officer, and other members of our senior management team who will work there. This individual will serve as the point person and liaison for all visitors to that office.
Key Responsibilities:
? Establish and maintain office services by organizing office operations and procedures, controlling correspondence, designing and maintaining filing systems, and reviewing and approving supply requisitions.
? Oversee the maintenance and location of office areas and equipment, as well as the office layouts and housekeeping.
? Oversee the facility?s day-to-day operations (e.g., distributing and keeping a log of building access keys).
? Answer and screen telephone calls.
? Coordinate daily calendars for CEO, CFO and others as requested.
? Organize travel.
? Make arrangements for office meetings.
? Organize Board of Director Meetings and material for these meetings.
? Work with CFO as requested on public relations and investor relations.
? Liaise with internal and external individuals including Board members, investors, executives, etc.
? Ensure excellence in the reception area, providing effective telephone, mail, and in-person communications to establish and maintain a very professional corporate image.
? Develop presentations and plan events as requested.
? Work closely with the Lebanon office to integrate these two locations and ensure a ?one company? culture
? Other duties as required

Education/Experience
? Bachelor?s degree or equivalent experience
? Knowledge of office administration
? Minimum 3 years? experience as an Administrative Assistant experience supporting a senior executive in a busy environment.
