POSITION SUMMARY
The Office Manager is to coordinate, manage, and document office operation activities, processes, procedures, and policies in an efficient and cost-effective manner, including the coordination and management of Office Services staff member activities, utilizing Datacert's standards and best practices.
DUTIES AND RESPONSIBILITIES
Essential Functions:
Direct office operation functions including front office administration and office services; facilities upkeep, safety and security; and supply, furniture and equipment procurement, maintenance and upkeep.
Manage Office Services staff, including recruitment, hiring, orientation, training and development, motivation, coaching, workflow distribution and monitoring, performance evaluation, counseling and discipline.
Manage, administer and utilize Office Services tools and systems, such as Track-It, NetSuite, Active Directory, MOSS and eCAS to track, manage and analyze Datacert employee data and requests.
Manage and administer company-wide conference calling accounts, parcel and courier accounts, corporate purchasing program, Kastle security management system, CWT travel tools, corporate travel accounts and reward programs, and other company-wide tools, systems and programs.
Create and implement Office Services policies, procedures, processes and service levels in accordance with company standards.
Manage the creation and upkeep of Office Services documentation, document control and records management; define and implement processes and procedures for retention, protection, retrieval, transfer, and disposal of Office Services records according to Datacert's Records Management Policy.
Prepare annual Office Services budget, monitor and approve expenses, analyze variances, and initiate corrective actions to achieve corporate and departmental financial objectives; participate in company-wide budget activities and meetings.
Analyze and manipulate data to prepare reports, documents, spreadsheets, presentations and other information the EMT or VP, IT.
Manage the safety and security of Datacert's office facilities in an effective and efficient manner; ensure compliance with OSHA and ADA standards as well as building management fire and safety code standards.
Plan, implement and manage office systems and layouts; distribute workspace and parking spots; and oversee office relocations, construction projects and other space changes for all Datacert locations, including virtual offices.
Manage storage facilities, corporate apartments, and other off-site facilities, including coordination, administration, rate negotiation and other activities according to Datacert standards.
Establish and utilize vendor relationships to manage cost-effective procurement, installation, maintenance and service of all office equipment, including phones, projectors, printers, copiers, faxes and supply and break room equipment
Additional Responsibilities:
Collaborate with other departments to facilitate company-wide and cross-departmental activities such as insurance renewals and reporting, audit activities, and employee orientation
Support opportunities for process improvement in support of key organizational directives such as revenue generation, customer satisfaction and retention, operational efficiency, employee engagement and talent management
Coordinate and conduct meetings and special functions, including preparation of agendas and presentations
Support presentation and training to internal parties; act as Office Services subject matter expert or project resource for cross-department and company-wide projects
Participate in Disaster Recovery activities, such as documentation, communications, reporting, and vendor management
Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, participating in professional societies and other related activities
Handle any other duties and projects as assigned
REQUIREMENTS AND QUALIFICATIONS
Education, Licenses, and Certifications:
Bachelor?s Degree in a business-related field required
College coursework involving personnel management, project management and administrative management required
Experience:
Minimum of 5 years experience in an Office Manager role
Minimum of 10 years progressive experience in an Administrative role
Experience in software or legal industries a plus
Accounting, vendor management, or construction management experience a plus
Critical Knowledge, Skills, and Abilities Requirements:
Excellent proficiency in MS Word, Excel, Outlook and PowerPoint are required
Working knowledge of MS Project, MS Publisher, MOSS, NetSuite, Kastle, eCAS, Angus or WebEx a plus
Ability to relate to and motivate, instruct, guide, assign, advise and mentor staff
Excellent verbal and written communication and presentation skills
Demonstrated ability to work independently and remain flexible in a dynamic environment
Ability to efficiently and effectively multitask, organize, prioritize and cope with pressure
Demonstrated problem solving, decision making, analytical and research skills
Ability to maintain a high level of confidentiality
Understanding of key drivers of the business (macro, industry, company)
ADDITIONAL REQUIREMENTS OR INFORMATION
Travel as needed, up to 10%
This position requires flexible and extended work hours necessary to ensure timely and quality completion of assignments
Incumbent must be polished, detail-oriented, customer-oriented (internal and external), dependable, assertive and positive
