Office Manager Gilt Groupe
THIS JOB HAS EXPIRED The Office Manager is responsible for day-to-day facilities oversight for the 2 Park Gilt Groupe office ensuring smooth operation of the location. The Manager is the main point of contact for external building partners, and is the face of Facilities for all employees and internal partners, IT and Human Resources and Executive Assistants. The Manager is responsible for all corporate services including reception, pantry, supplies, relocation move management, on-boarding, ergonomics, offsite storage, and sublease tenant oversight. In addition, the Manager will be tasked with examining current practices and creating process where to improve Corporate Services specifically at 2 Park, and to leverage and share learning for other facilities.
Roles & Responsibilities:
Reception ? Manager reception staff, scheduling, coverage and staff development
Pantry ? Manage cost control and approve replenishment orders
Relocation Move Management ? Space planning for new hires/terminations, Event Planning ? point person within 2 Park for special events and assist in set up and break
Review all ergonomic concerns and all furniture related requests.
Purchase of additional storage bins and new/additional key requests
Coordinates and partners with IT for infrastructure needs
Maintain onsite presence and liaise with security vendor, inspectors, specialty vendors including appliance repairs, furniture, data room, cleaning, electrical, fire, pantry, etc.
Manage Sublease Tenants for Relocations; Pantry and Mailroom Supplies
Remote Facilities Supply Management approvals (all non NYC locations to include Boston, Washington DC, Miami, Chicago, Los Angeles, San Francisco, Portland) cups, water, coffee, etc?
Manage training for all EA?s, end users and Gilt City Remote offices of Corporate Services Vendors (Pantry Supplies; Mailroom Supplies; Car Service)
Work with Facilities Coordinator on the following areas
Move requests (Direct IT Staff upon approval), Restacking, 41Where manage and maintenance, Weekly Vacancy Reports
Conference Rooms ? oversee daily maintenance, specific set-up/break down and layout requests
Mange on boarding of new employees and all office moves, partnering with IT and HR for successful set-up. Notify IT of timing, set-up of equipment, floor tours for new hires, supplies at desk and on-boarding packet.
Manage Offsite Storage Facilities
Manage all related budget line items; Approval and Invoice Processing, Creation and Presentation of any Change Requests for opex or capex. Assist with budgeting activities as it relates to Facility Cost Centers
Review/approve all monthly bills for the 2 Park location: utilities, work orders, ID card changes
Responsible for review and approval of all Deluxe messenger/courier charges broken out by department
Partner with Finance / HR to develop Travel Policy & Vendor Management & Negotiation Corporate Car Service, Corporate Hotel Rates
Develop and manage a better process and method for how to approach planning, set-up and breakdowns of special events.
