Office Manager Carnegie Learning
Responsibilities
Answer and screen all incoming phone calls.
Greet and host all visitors, ensuring a positive experience at our facility.
Provide administrative support to the executive staff as needed; travel planning and other projects.
Assist with event planning, including venue and vendor coordination and budget arrangements.
Maintain an orderly work environment in the common areas; copying, reception and employee kitchen area.
Provide ad-hoc project support to a variety of departments on an as needed basis.
Maintain electronic calendars for companywide events and shared meeting rooms.
Responsible for being the liaison and managing the relationships of the facilities and maintenance needs, ensure that facility maintenance issues are identified and resolved immediately.
Point of contact for facility space issues ? including relocation planning, moving, changing or adding of equipment or reassigning employees to different spaces.
Coordinate internal and external meetings. Assure that all office and meeting space is well maintained and prepared for all meetings.
Order, stock and maintain office supplies.
Support the HR department with interview scheduling, conducting reference checks and set up of employee files.
Discreet handling of confidential information via electronic and hardcopy correspondence.
Requirements
A minimum of 7 years experience in office management and supporting corporate executives.
Excellent written and verbal communication skills.
Strong organizational and time management skills.
Demonstrated strong computer skills with the ability to effectively use the MS Office Suite.
Demonstrated ability to multi task
Discretion, tact, judgment and poise to deal with confidential matters.
