Office Manager Kongregate
THIS JOB HAS EXPIRED Kongregate, an independent subsidiary of Gamestop that focuses on web & mobile games, is looking for an enthusiastic, pragmatic, detail-oriented office manager for our San Francisco headquarters. This position will be in charge of creating a supportive, fun work environment for our tight-knit team as well as assisting executives, HR and accounting with various tasks.
Essential Job Duties & Responsibilities:
Plan and schedule group meetings and secure necessary resources, including travel, housing, and meals
Support executives and other employees in the processing of reimbursements, including the submission of expense reports
Oversee the physical maintenance and organization of the office, including the selection and supervision of appropriate vendors for cleaning and repairs
Maintain office records by designing and maintaining filing systems; ensure proper transfer, retention and disposal of files/records.
Manage and order supplies; select appropriate vendors and ensure spending is within the budget guidelines of the organization.
Coordinate and manage incoming and outgoing mail and shipping needs.
Create and manage various operational reports that provide visibility into company team performance such as weekly and monthly snapshots.
Assist accounting manager with the preparation, processing and reconciliation of department payables,
Identify and implement ways to streamline the workflow process for current and future projects.
Assist team with production of presentation materials and participate in strategy and planning meetings when appropriate.
Provide support for team projects and perform other administrative duties as needed.
Education & Experience:
High School diploma or equivalent work experience required
At least 1 year of general administrative assistant experience required; office management experience preferred
Proficient written/verbal communication and presentation skills using spoken English
Proficient organizational skills, with the ability to handle multiple, overlapping, and potentially conflicting priorities
Ability to work collaboratively
Ability to recognize discrepancies in written/recorded data/information; ability to respond quickly and effectively to work errors
