Zillow?s San Francisco office is growing extremely fast, and we are looking for someone to keep it an amazing place to work. The Office Manager position provides facilities support for the San Francisco office. This individual is instrumental in making a great first impression for the company with anyone who walks into our office by creating an awesome working environment! Specific Responsibilities include:
Oversee management of our office in San Francisco?s financial district.
Act as a liaison with building management, maintenance, janitorial service and all other vendors. Manage daily work requests.
Lead the planning, execution, and communication regarding office cultural events like games, outings, competitions, guest speakers, and food choices.
Manage mail/UPS including: Effectively handle in and outbound mail; Prepare UPS and other shipments (including returns) as appropriate; Maintain stock of mailing/shipping supplies.
Plan and oversee all ongoing space planning needs including both all company moves and small inter-departmental moves.
Manage the SF facilities budget. Responsible for all ordering and organizing all supplies including food, furniture, office supplies, collateral etc.
Ensure all safety and security procedures are followed and communicated with the company. Arrange fire drills and train floor wardens on their responsibilities. Manage the issuing and tracking of access cards, keys and parking validations.
Help with onsite and offsite meeting coordination. Ensure all shared office space is organized and tidy.
Greet company guests and make them feel welcome and situated in the appropriate conference room or office.
Conduct ergonomic assessments and recommendations when needed. Generate evaluation reports.
Help with new hire on boarding: set up new hire space, coordinate office tour, keep office map updated, and order business cards.
Assist with ordering, setup and cleanup for an array of company events, happy hours, seasonal decorations, and parties.
Communicate all things facilities to the company. Keep the facilities wiki updated.
Requirements:
2-4 years of experience in a facilities field.
Must be creative, flexible, independent, friendly and positive with an ability to work well with different personalities within a fast paced dynamic culture.
Willing to do some manual labor (i.e. move furniture, run errands, clean/organize kitchen and conference rooms). Must be able to lift a minimum of 40 - 50 lbs; Occasionally early morning or evening or weekend hours may be required during office moves or construction projects.
Knowledge of construction terms and practices is helpful.
Proficient in all MS Office applications such as Outlook, Word and Excel.
