THIS JOB HAS EXPIRED We are looking for an Office Manager to join our Operations team. The Office Manager plays a very important role and is responsible for overseeing all office and facilities management in addition to the front reception desk. As part of the Operations Team you will work closely with all of our employees, the management team, and external vendors to create, support and sustain a great office environment. You will be our central go-to person for front reception, office, facilities and general company needs and be responsible for providing great customer service to ensure those needs are met cost effectively and efficiently.
Oversee all office activities and office administration.
Order and replenish all office/kitchen supplies including drinks, snacks and food from vendors.
Oversee facilities management. Ensure facilities are tidy and clean plus operating smoothly, including managing vendor relationships for repairs and improvements.
Oversee front desk receptionist area and greet customers/guests to Tiny Prints. Help all employees as needed at the front desk.
Process, track and handle incoming and outgoing mail/packages with UPS, FEDEX, USPS and DHL, to include approval of invoices for payment.
Answer phones at front desk as appropriate.
Coordinate travel logistics as necessary.
Assist in planning and coordinating company events and committees as appropriate.
Assist Finance with filing and reviewing vendor invoices as necessary.
Assist HR with various projects and conduct overview of the office facilities for new hires.
Oversee and manage conference room calendars, setup room for large meetings and order food as necessary.
Generate and manage daily reports
Issue, activate, and deactivate security badges for all employees, holiday staff and vendors.
Assist in logistics for influx of employees during peak season, up to and including office equipment, meals, additional vendor services, etc.
Perform other duties as assigned
Minimum Qualifications and Skills
1-2 years office management, facilities and front desk receptionist experience.
Proficient in MS Office software and experience with Oracle systems a plus.
Excellent customer service, organizational, communication (verbal and written), problem solving, prioritization, and multi-tasking skills.
Ability to learn quickly on the job and make sound decisions.
Ability to work with all employees and managers at all levels.
Proven ability to manage multiple projects and deliver results in a fast-paced, deadline oriented environment.
Associate?s Degree or, Bachelor?s degree preferred.
