About the Job
Nexant is seeking an Office Manager for the Washington, DC Office. The Office Manager is responsible for the management of the office facilities, equipment, operations and administration. This includes monitoring operational budgets for the DC Office, ensuring facilities and equipment are operational and maintenance of same is timely requisitioned or attended to, and establishing and implementing administrative duties. The position manages and coordinates office IT needs with corporate and regional IT staff and supports human resource functions. The Office Manager also ensures that building safety and security issues are reported, coordinated, and monitored through the appropriate local agencies and Nexant personnel. The following is a representative description of the position?s roles and responsibilities. Reflecting the flexible nature of consulting work, Nexant will adjust this description as necessary to meet operating and strategic needs of its business.
Duties and Responsibilities
Maintain office facilities - This includes sourcing and ordering office equipment as approved by Corporate and/or Business Unit manager, office and kitchen supplies, maintaining access rights and security to the space, managing communications needs, and coordinating IT needs with Corporate and regional IT support staff or vendors. Additionally, the Office Manager will:
Maintain office systems and procedures in conjunction with corporate policies and local project requirements, revise when necessary;
Monitor an operational budget for the office and manage expenditures that relate to the office operations. Suggest revisions to budget if original assumptions have materially changed;
Maintain office equipment and supplies as listed in the desktop procedure;
Maintain local mail, courier, and express mail accounts;
Manage local telecommunication expenses;
Coordinate with senior managers and Corporate on space requirements for new hires, office locations and any internal moves required;
Manage contracts with service vendors (cleaning and recycling) and hotels;
Maintain a safe and secure work environment as stated in the emergency evacuation procedure
Provide IT support - This includes maintaining the server room, providing local server backup, local user support, computer configuration support and interfacing with the MIS manager on new or replacement machine requirements.
Support Human Resource functions-
Assistance with human resource materials;
Coordination of initiation activities for new hires;
Documentation required by HR
Coordination of exit procedures and collection of company property.
Administrative Support ? Provide general administrative support for Washington, DC office:
Coordinate the administrative needs of commercial and technical proposal efforts as required;
Establish and implement administrative duties, including file management, correspondence and scheduling.
Front desk support that includes greeting visitors, managing incoming calls, faxes and mail, and keeping front desk trackers;
Maintain travel calendar;
Updating office roster;
Maintain conference room;
Assist with visa applications for international travel;
Ad hoc assistance with production and distribution of deliverables;
Other administrative support as directed by supervisor.
At least ten years? experience working in an Office Manager or a Project Administrator position on multiple major projects or for a major office, supporting a staff of at least 20 for five years.
Four-year degree or equivalent work related experience.
Excellent knowledge of MS Word, Excel, Power Point, and Access.
The ability to communicate with all levels of internal staff, as well as outside vendors, consultants and clients.
Superior organizational skills, the ability to maintain confidentiality on issues as required, the ability to prioritize and deal with a multitude of varied objectives and duties, and the ability to effectively interpret and communicate corporate policies to others.
