Office Manager EnVivo Pharmaceuticals
This position requires a thorough knowledge of office operations, excellent communication skills, a customer-service mentality and the ability to manage multiple tasks and priorities.
Duties will include but are not limited to the following:
Vendor management: copy services, printer support, express delivery services, janitorial services, vending machines
Security Systems management - interface with Fidelity, manages local access, manages badges process
Facilities/space/seating planning - work with lab services, IT, landlord and Fidelity to maintain facilities
Record Retention - works with departments to ensure appropriate space and procedures
Canteen - manage upkeep and supplies
Office Supplies - keeps general supplies stocked, takes orders and delivers
Reception - ensures that visitors are greeted and directed. Maintains visitor log. Notifies employees of visitor?s arrival.
Phones - answers main line and directs calls as appropriate. Sets up conference calls.
Certain administrative support to CEO, CFO, General Counsel, CSO and CBO:
? Provides calendar coordination for meetings
? Travel arrangements, on an exception basis
? Preparation of Powerpoint presentations
? Manages calendars for all company meeting rooms
Assists CEO with managing schedules for US and international Board meetings
Collects and prepares information for board books and coordinates details of board meetings with all attendees.
Other projects/tasks as assigned by CFO
Requirements:
In-depth skill required with Outlook and MS Office, including PowerPoint. Bachelor's of Science degree preferred.
Minimum of 3 years prior experience as an Office Manager or other administrative position with signficant responsibility in fast pace, high-growth environment, preferably in life science.
