The Operations Coordinator is responsible for the successful coordination and execution of media services productions and project deliverables. This includes scheduling, customer coordination, production coordination, logistics, inventory management, purchasing, inbound telephone support, clerical, billing and financial tracking, database and information management and reporting.
This position, in Yorktel?s Media Services department, reports directly to the Director of Event Operations. The Director of Event Operations will provide direction and support of day to day functional tasks, priorities, and career development.
This position requires a detail oriented person with exceptional customer service skills, strong computer and Microsoft Office proficiency, professional appearance and pleasant phone demeanor. Highly organized individual with superior written and verbal communication skills and solid command of the English language and rules of grammar.
This position has authority and decision making responsibilities for day-to-day support of operations at the Herndon facility. This includes managing vendors, facilities and maintenance, ordering office supplies, consumables and equipment, and exercising oversight to ensure that operational and quality assurance goals are met, customer deliverables satisfied, and expectations exceeded.
This position regularly communicates and coordinates with customers, colleagues, partners and contractors. The position will:
proactively monitor appropriate communications channels
monitor inbound ACD queues and respond to general calls and queries
promptly respond to requests from customers, colleagues and others
delegate or escalate where necessary but retain ownership to follow-up and ensure follow-through on requests or deliverables
provide management reports, customer reports, input on operations metrics and SLA compliance, and other reporting as needed
Coordinate with account management to ensure work orders and billing authorizations are established in a timely mannerManage master events calendar and coordinate event requests with clients and crew.
Manage business information system data, including work orders, service orders, catalogs, schedules and pricing
Facilitate monthly billing based on events calendar, contract rates, quotes, and work orders
Coordinate vendor invoice approvals and accounts payable
Quality assurance testing and monitoring of live broadcasts, webcasts and recorded media
Maintain partner, subcontractor and resources databases
Assist with development of production plans, schedules, shot lists, crew lists, scripts, budgets and related preproduction preparation
Track expenses, schedules, billing and budget reconciliation to ensure projects are consistently completed on-time within budget
Manage project deliverable requirements, monitor timelines and track status
Resource utilization tracking, inventory and traffic reporting, and other management reporting
Purchasing of consumables, supplies, equipment and assets
Receive guests, deliveries and inbound calls at the Herndon office
Author or edit standard operating procedures, processes, lessons learned and best practices
Plan, document, and manage multiple projects and deadlines effectively under tight deadlines with minimal supervision
Media library maintenance and duplication of recordable media
Coordination of, and assistance with, shipping and receiving
Knowledge of and adherence to York Telecom policies and procedures
Other duties as assigned
