The role of Order Entry Administrator with SpectraSensors is a very important
contributor to all levels of Company customer support effectiveness as well as transactional
integrity to ensure we meet the ultimate objectives of achieving customer
satisfaction and operational excellence. Order Entry Administrator duties and responsibilities
are aligned with company plans, policies, objectives and customer needs.
Specific functions include, but are not limited to:
Provide sales channels, customers, and internal customers (SpectraSensors personnel) with a reliable ?point of contact? during hours of operation from 8:00 am ? 5:00 pm. This includes customer phone support and
Review order entry package to ensure ?clean? Purchase Order receipt for order entry in
Perform order entry for high volume of Sales Orders, Service Request Orders (SRO), and
Change Orders in Syteline/ERP system, which will require interaction with sales
channels, customers, and factory personnel.
Communicate Order Acceptance with sales channels and customers.
Project support responsibilities to include the managing of project milestones via
recording, tracking, facilitating, and communicating milestone status thru
completion to appropriate stakeholders (external & internal).
Project documentation support responsibilities include collaboration with Systems
Integration in producing hardcopy project binders per customer specifications for
customer submittal, and the electronic uploading of documentation deliverables
in customer document control systems.
Appointed backup for Customer Service Coordinator for service support related topics resulting in Service Request Order (SRO) entry in Syteline/ERP, and Quote preparation for sales channels/ customers for spare parts, services, and repair evaluations.
Order and manage office supply inventory to ensure sufficient supply is in stock at
all time to support daily operations.
Maintain and produce various reporting metrics by way of Syteline/ERP, Microsoft Excel,
and PowerPoint for management.
Required to be ?Customer Focused.? The objective is to provide the Ultimate Customer Experience with quick response time in a professional and concise manner to be effective and efficient as possible.
Meet Customer Support information logging and filing requirements as defined by Customer Support Manager.

1) Minimum 2 years experience in Inside Sales/Customer Support, and preferably for process control instrumentation.
2) Must be detail orientated with a strong emphasis on accuracy.
3) Must have the ability to multi-task and maintain professionalism under pressure in periods of a fast paced environment.
4) Must be reliable; on time with strong attendance.
5) Must possess intermediate or higher working knowledge of SAP or ERP programs.
6) Must possess intermediate or higher working knowledge of Microsoft Office Programs.

1.Able to travel 3 weeks per year domestically for product training and sales channel and customer interaction.
2.Must have excellent written and oral communication skills. Demonstrated ability to deal with customers professionally and with a customer service orientated approach.
3.Committed to providing timely sales support to sales channels, customers, and end users by providing them with access to Customer Support through email and phone communication during hours of operations Monday ? Friday from 8:00 am ? 5:00 pm.
Minimum high school diploma. Consideration is based on relevant professional experience and proven success.
