The Payroll Administrator is responsible for processing and managing all aspects of payroll for Healthline?s two offices: San Francisco (Corporate), and New York. This position must ensure timely and accurate processing of semi-monthly payrolls. This position must provide support for payroll accounting, related regulatory reporting & filing requirements, and compiling & analyzing payroll data in response to authorized company personnel requests.
The successful candidate will take initiative to solve and answer payroll-related questions independently and have the ability to complete task under minimum supervision. The ideal candidate for this position is a highly motivated team player with excellent organizational, prioritization, and communication skills. The position will report to the Controller and have the following responsibilities:
Process semi-monthly payroll in a fast-paced environment using Ceridian
Enter New Hires, changes in information, W4 information, PTO, 401(k), Direct Deposits, terminations of employment, etc.
Provide employees with information regarding payroll and assist in resolving discrepancies with paychecks
Prepare payroll journal entries for review and posting to general ledger system (Sage-Platinum)
Ensure that the appropriate controls and procedures are in-place / being followed regarding payroll processing in order to ensure they are effective and efficient processes (includes creating and maintaining all control narratives and flow-charts)
Interact with external auditors/agencies to ensure all appropriate controls are being followed and accurate reporting is completed timely
Manage the multi-state withholding process
Work closely with Human Resources on programs such as benefits administration, personnel audits, 401(k) process, testing, and reporting, and other business reporting
Participate in the commuter check program from the payroll perspective
Complete, on a timely and accurate basis, the monthly close process for all Payroll functions and expenses, including reconciliations of PTO and other payroll related accruals, and allocation of payroll expenses, and headcount tracking
Update weekly salary and headcount forecast

Excellent payroll administration skills with strong attention to detail, the ability to meet deadlines, and manage multiple projects in a fast-paced environment
Customer service oriented individual with strong interpersonal, verbal and written communication skills including the ability to interact effectively and independently with senior management across the organization
3-5 years of experience in payroll department
Strong system skills including various payroll systems, including Ceridian and Sage-Platinum preferred
Proficient in Excel, including VLOOKUP, SUMIFS, and Pivot Tables
Knowledge of GAAP as they pertain to payroll and benefits transactions
Knowledge of general payroll practices, IRS and multi State regulations
Demonstrated ability to identify problems and propose paths to solution
American Payroll Association member a plus
