Job Description
We are seeking an experienced Payroll advocate to join our Finance & Accounting Team, located in Seattle, WA
The Payroll Administrator is responsible for processing and managing all aspects of payroll. This position must ensure timely and accurate processing of semi-monthly payrolls. This position must provide support for payroll accounting, related regulatory reporting & filing requirements. Additionally, compiling & analyzing payroll data in response to authorized company personnel requests.
The successful candidate will take initiative to solve and answer payroll-related questions independently and have the ability to complete tasks under minimum supervision. The ideal candidate for this position is a highly motivated team player with excellent organizational, prioritization, and communication skills. The position will report to the Payroll Manager.
Key Responsibilities:
Process semi-monthly payroll in a fast pace environment using Ceridian Latitude.
Enter New Hires, changes in information, W4 information, 401(k), Direct Deposits, terminations of employment, etc
Provide employees with information regarding paychecks and assist in resolving discrepancies with pay checks
Prepare payroll journal entries for review and posting to general ledger system
Ensure that the appropriate controls and procedures are in-place and being followed regarding payroll processing in order to ensure they are effective and efficient processes
Manage and process the multi-state withholding process
Work closely with Human Resources on programs such as benefits administration, personnel audits, 401(k) process, testing, and reporting, and other business reporting
Perform a timely and accurate monthly close process for all Payroll functions including reconciliations of accounts and systems, review of all accruals for accuracy.
Coordinate timely and accurate transmission/receipt of payroll files and records to third-party payroll or benefit vendors and ensure payments made timely.
Take a leadership role in developing or modifying payroll administration procedures to improve department accuracy and efficiency through proposing new procedures, initiating discussions at staff meetings, and evaluating process flows.
Maintain familiarity with current tax regulations and procedures through review of department trade subscriptions. Working with manager, implement procedural changes as necessary when tax regulations change.
Ensure confidentiality is maintained: ensure department files are locked as appropriate, discuss employee issues only with authorized personnel, and exercise discretion in conversations in open areas.
Assist with special projects, such as research for audit support, as requested.
Requirements
Excellent payroll administration skills with strong attention to detail, the ability to meet deadlines, and manage multiple projects in a fast paced environment
Customer service oriented individual with strong interpersonal, verbal and written communication skills including the ability to interact effectively and independently with senior management across the organization
3+ years of experience in payroll department
CPP desired
Strong system skills including various payroll systems, including Ceridian preferred
Proficient in Excel
Knowledge of general payroll practices, IRS and multi State regulations
Demonstrated ability to identify problems and propose paths to solution
Understanding of integrated HR/Payroll systems.
Experience working in a team environment.
