Administer bi-weekly payroll for multi-state US employees. Ensure all employees are paid accurately, timely and in compliance with company?s policies and governmental regulations. Confirm benefits and payroll deductions in the Human Resources Information System (HRIS) to ensure accuracy.
Process and oversee full cycle multi-state bi-weekly payroll (including regular pay, bonuses, commissions and garnishments).
Maintains payroll information by collecting, calculating, and entering data from HRIS and timekeeping systems.
Reviews imported updates to payroll records in payroll system against appropriate back up and enters manual changes in personal exemptions, direct deposit, and other employee related pay and deductions.
Audit timecards for accuracy and resolve timecard questions and/or issues.
Prepares a variety of reports as requested by compiling summaries of earnings, taxes, deductions and accrual balances.
Process, calculate, and issue manual and term checks as needed
Review quarterly, annual and W-2 payroll tax reports as prepared by payroll provider. Determine liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and workers compensation payments.
Receive, interpret, and facilitate wage garnishments as needed.
Resolves payroll questions and issues by collecting and analyzing information and works with appropriate channels to solve with speed and accuracy.
Contributes to team effort by accomplishing related results as needed, while maintaining employee confidence and protecting payroll operations by keeping information confidential.
Works collaboratively with HR teams to provide courteous and efficient information to employee requests and questions.
Facilitate audit requests and assist in other projects as necessary.
Work with the accounting department for benefit carrier bill reconciliation.
Assist and resolve employees benefit issues as needed.
Prepare analytical reports and analysis of benefit program costs
Develops and documents benefit plan processes to ensure consistent, accurate and timely processing and superior customer service. Creates, maintains, and updates documentation of process flows, administrative and standard operating procedures.
Interacts directly with the 401k carrier; 401k Third Party Administrator (TPA) to ensure proper handling of employees? enrollment, loans, deductions, benefit payments and investments.
Provides the 401k yearly census and compliance testing to 401k provider.
Gathers information to provide to the internal or external auditor during the yearly audit and to forward the completed Form 5500 to Chief Financial Officer for signature.
Skills & Requirements
Must understand and be updated on payroll related regulations (wage and hour laws, IRS rules regarding supplemental wages, etc.)
Strong skills in using Microsoft Excel and Outlook are required.
Knowledge of ADP is a plus
Understanding of 401K, FMLA, COBRA, Section 125, 940, 941, W2?s, state unemployment tax and leave accruals is a plus.
Must be detail oriented and able to meet deadlines accurately.
Strong communication skills, both oral and written, and an ability to make confident judgment decisions
Ability to prioritize, reorganize priorities, multi-task and be effective in a fast paced, dynamic environment
Ability to both work well independently as well as a team member
Excellent organizational skills and detail-oriented approach are required
1-2 years of experience administering health benefits and/or a 401k plans
2+ years processing payroll for multi-state payroll
2 year degree, preferably in Accounting or equivalent experience
