The ideal candidate will play a central role in keeping the departmental operations/activities organized, on track and moving forward. Candidates must have exceptional communications skills, detail oriented and thorough and should be comfortable working in a fast-paced, high change-oriented environment with minimal input. This position is located in our Headquarters office in Arlington, VA.
Job Duties include:
- Coordinate meetings and group events including Lunch & Learn sessions, All Hands meetings and other morale and welfare related activities
- Coordinate hiring activities and schedules
- Coordinate both internal and external training activities
- Coordinate reward and recognition initiatives like spot awards and other gift certificates
- Serve as Plateaus Learning And Performance Administrator for PE
- Coordinate expense tracking and other Changepoint related activities for employees
- Help manage the content of the PE Wiki and Portal applications
- Manage the internal Resource Allocation spreadsheet
- Make travel arrangements for PE employees
- Prepare Operating Expenditures and track internal departmental budgets.
- Manage the departmental library
- Coordinate ODC-related administrative activities
- Participate in key projects and recurring departmental meetings
- Must be able to assist in preparation of presentations and assist with correspondence, memos, charts, tables, graphs, plans, etc. Also responsible for generating weekly department status reports
- Handle sensitive, confidential and non-routine information
- Manage and track internal requests including those related to IT and facilities
Required Qualifications:
- BA or equivalent degree from a reputed university
- Minimum 2 years administrative experience in a fast-paced, high-tech environment
- Internet savvy with proven mastery of Office applications, including Word, Excel, PowerPoint, Visio and Outlook
- Interest and experience in using technology to improve work efficiency
- Exceptional written and verbal communication skills
- Strong organizational skills, detail oriented, and the ability to handle multiple priorities at once
- Ability to take initiative, to be resourceful and to adapt to change
- An understanding of the nuances of arranging travel, meetings, and conference calls for globally-located participants
- Highly trustworthy and able to manage confidential information
- Thrive in an environment where multiple activities are ongoing
