Phlebotomy Administrative Specialist Atherotech

The Phlebotomy Administrative Specialist will report to Atherotechs IOP Administrative Manager and collaborate with Atherotechs Director of Phlebotomy Services and department, assisting in the oversight and management of phlebotomy services to provide better services to The IOP (In Office Phlebotomist) program. The Specialist is responsible for assisting in the facilitation of phlebotomy services through CRM maintenance of new and terminated IOPs, shipping logistics and supply management, and other duties as assigned. Duties include:
Responsible for the smooth start-up of new IOPs
Request a start-up supply kit for a new IOP
Set up web access
Issue an email address
Provide SOP, MSDS, NNP forms, Log Book and name badge for new IOP
Set account in CRM as an IOP; indicating phlebotomy manager
Set up FedEx/UPS pick up at IOP locations
Follow-up with new IOP accounts and other CRM functions as pertains to IOPs
Indicate account in LIS as an IOP
Request an IOP account to be added to report manager
Track supply and equipment shipments to delivery
Manage the phlebotomy packet supplies and documents
Terminate a draw fee for an IOP
Terminate AutoShip for an IOP
Responsible for the assistance in the closure of all processes and services in an IOP termination
Perform other duties as assigned
Experience and Skills:
Good oral and written communication skills both in person and over the phone are essential. Must possess excellent skills in project and time management. Must have a friendly, professional attitude focused on customer satisfaction both internal and external.
Able to sit at a desk and use computer for long periods of time (most of work day). Occasionally able to lift/carry a minimum of 20 pounds; some standing and walking is required.
Must be proficient with M/S Office software especially as it applies to Excel. Must have technical proficiency with databases or CRM tools, i.e. Microsoft Dynamics.
Some college coursework required (i.e. 2 years, junior college, alternative credits, etc.).
Must have experience in a service industry with focus on customer satisfaction both internal and external.
Must work well in a team environment; must display pleasant and professional behavior; must be able to execute in a highly accurate and timely manner.
