Primarily responsibility is to coordinate the efficient and effective running of Professional Services within the Technical Service team. Provide assistance in other operational areas as necessary. Work closely with the Vice President of Technical Services and the Director of Business Operations to manage systems, administrative activities around customer activities, and internal business process. Will have responsibility for project scheduling and tracking, order tracking, administration of the NetSuite system, and ad hoc projects to support Technical Services and Business Operations.
Manage daily project scheduling and resourcing. Update necessary tracking system(s) to ensure that project and/or program status is maintained and reported to VP of Technical Services and Director of Business Operations
Obtain requirements for projects from Sales and Technical Services and translate and communicate those requirements into statements of work to be sent to the customer
Responsible for establishing and maintaining coordinated activities including scheduling of resources, validation and reporting of progress
Develops and maintains accurate and complete files for projects and programs; organizing, recording, storage and retrieval of communications; continues to monitor for integrity and completeness
Utilize CRM for specific inquiries and reports and seek information on a real-time basis. Identify/prepare customized reports from CRM software
Organize and setup new projects in the CRM system
Assist Finance department with month-end services reporting
Develop and maintain an active list of partners and subcontracts for resource planning
Interact with members of the Sales Operations, Customer Support and Finance teams as necessary to ensure smooth and accurate reporting of deliverables in order to facilitate billing, revenue recognition, SOW and project tracking and completion
Maintain Customer Relationship Management (CRM) software/database
Develop, track and report on customer satisfaction measurements and metrics
Analyze current processes and procedures and suggest improvements where necessary
Assist in other areas of Business Operations where necessary
Complete ad hoc projects and support as needed.
Ability to analyze and solve problems, perform complex tasks, and prioritize multiple projects.
Strong interpersonal skills and the ability to work effectively with a wide range of individuals in a diverse community.
Excellent internal and external customer communication skills
Knowledge of business practices and procedures, especially in a professional services environment
Ability to make sound decisions and judgments.
Excellent organization and time management skills.
Experience working with management and well-versed in the practices and demands of progressive and evolving organization
Proficient in MS Office Suite, NetSuite or similar ERP system, knowledge of MS Project
Bachelor's degree in Business or related field a plus, but not required
5+ years' experience in software industry or professional services organization
