Job Description: Professional Services Operations Coordinator
The PS Operations Coordinator plays an important role on the Professional Services Operations team which is responsible for supporting the efficient operation of the services organization. We are seeking a high energy individual that works well in a team environment and is excited about continual learning and improvement. In summary, this individual will focus in four possible areas:
1. System Administration Support
2. Education Coordination
3. Professional Services Operational Support
4. Resource Coordination and Management
System Administration Support
This position will be responsible for software application administration as required to support organizational operations by:
o Providing basic user support for our Professional Services Automation (PSA) tool, ensuring key information is maintained and updated.
o Assisting with the administration of our Learning Management System (LMS)
o Participating in system enhancement projects and testing as required.
o Ensuring all employee data is kept updated and coordinated across departments where needed.
This position will be responsible for supporting the education administration activities in various capacities. In summary, this individual will participate in the following areas:
o Training and instructor scheduling, coordination and invoicing
o Student registration, tracking and certification management
o Process improvements and metric s reporting
PS Operational Support
The PS Operations Coordinator will support field operations. In this capacity, the PS Operations Coordinator will assist with:
o Invoicing and Month-end process activities.
o Troubleshooting general employee questions regarding a wide variety of subjects such as assignments, expenses, travel, and company policies.
o Creating and implementing organizational efficiencies.
Resource Coordination and Management
An additional area of responsibility for the PS Operations Coordinator will be to support the resource management team. In this capacity, the PS Operations Coordinator will be assist with:
o Reviewing and confirming staffing assignments for accuracy.
o Pro-actively making staffing recommendations and identifying staffing issues.
o Generating and providing high level reports to management for analysis.
Required skills and experience:
o 1-3 years' combined experience in technical services operations or professional services.
o Experience with basic system administration tasks.
o Some background in financial analysis.
o Excellent interpersonal, telephone and electronic communications skills.
o Ability to work effectively with a small team, with shared responsibilities and demonstrating collegiality.
o Strong organizational skills.
o Knowledge of applications including but not limited to: Microsoft Office Suite. Advanced knowledge in Excel is a plus.
This position will be located in Foster City, California and will require being onsite at our Foster City Office, and will report to the Professional Services Director of Operations.
