We are currently seeking a Program Coordinator that will be responsible for partnering with each member of their assigned Sales Team to maximize selling time, ensure accurate orders, achieve high levels of customer satisfaction, and be a strong contributor to the achievement of department and company goals. This person is responsible for supporting the sales team throughout the sales process. This position may from time to time participate in special inside sales activities such as box sales. Additional responsibilitie include: Database management (for inventory, maintenance orders; contract items in catalog); travel booking and expense processing for the Executive Vice President of Strategic Programs; processing large volume of renewing contract orders for a strategic a account.
This position reports directly to the Executive Vice President of Strategic Programs. The EVP Strategic Programs will provide direction and support to the Program Coordinator in regard to the following areas; Career development and employee escalation issues. This position will also work closely with the Sales Organization and Service delivery on a daily basis to help assist and deliver complete customer satisfaction.
Depth of Knowledge Required:
Excellent organization, time management skills and a high level of attention to detail required. Strong problem solving skills necessary. Very good written and verbal communication is required. Advanced knowledge of Microsoft Excel highly desired.
Authority and Decision Making Capabilities:
The Program Coordinator position will represent customer requirements to Yorktel and will assist with compiling of necessary data to ensure that the customer requirements are met. Must be able to acquire a thorough understanding of existing contracts to understand customer requirements and workflow.
Internal & External Relationship Responsibilities:
This position regularly works in a team of individuals with varying degrees of expertise. This position must regularly communicate answers to complex questions and respond to detailed inquiries to both internal and external clients. This position handles and is expected to protect all internal and external confidential information and must utilize discretion and judgment based on company policies and procedures. Experience and/or strong working knowledge of multiple videoconference platforms.
Support the sales team and partners in the pre-sales process by coordinating appointments, preparing sales materials, managing call lists, and updating the CRM database
Prepare final quotes for solutions created by the sales engineer and sales persons
Perform post-sale account management and generate additional sales based on client needs
Work closely with the program managers and project engineers on-site at agencies to process customer?s daily work order requests
Manage existing sales leads and opportunities
Responsible for supporting all sales roles and providing stewardship over the daily internal sales processes. Particular account responsibilities include maintaining accurate internal records of quotes and renewals; producing a weekly forecast report; working closely with partner companies to maintain an up to date SharePoint of contract-related documents
Periodically review booking and invoice information for accuracy within relevant accounts. Must have understanding of these processes to answer inquiries from customer point of contacts
Assist Strategic Program Quality Control Manager (QC Manager) with inventory database management and renewing maintenance quotes
Assist sales person in the preparation of draft proposals, RFI?s and RFP?s
Travel booking and expense processing for the Executive Vice President of Strategic Programs
Responsible for knowledge of and adherence to all internal York Telecom policies and procedures
Manage multiple relationships with vendors, clients, and our partners
Assist Marketing in disseminating sales support materials including but not limited to sales collateral, direct email, white papers, and advertisements
Assist in coordinating marketing, advertising and promotional activities
Other duties as assigned
Job Requirements :
Colleg Degree desired
1-3 years experience Preferred
May require occasional lifting (up to 50 lbs)
Ability to work on own initiative
Highly organized and able to communicate effectively in order to determine next sales task and resolve issues
Ability to cope with multiple projects
Knowledge of Microsoft Office programs, particularly Microsoft Excel
Ability to quickly learn multiple database programs
Team player with a clear capability to understand of York Telecom?s business
Excellent problem solving skills
Ability to work well with deadlines and constant re-prioritization
Ability to work independently
Ability to interact professionally with customers in person and/or on the phone
Requires extensive sitting, standing and walking
Limited weekend and/or night work may be required
Domestic travel requiring multi-night stays within and at times outside the local work area
International travel may be required
Valid U.S. driver?s license is a requirement and must have a positive driver?s abstract.
Current valid U.S. Passport is desirable.
Must be willing to complete background checks and drug tests as required by current or future contracts
Must be willing to apply for security clearances, suitability, and other related clearances to be able to work at certain customer locations
