The Coordinator provides assistance to the VP and project team. This includes maintaining office systems, assistance in preparing reports and presentations, coordination of meetings, tracking product development schedules and continued support of document control duties. Due to the nature of interactions, the Coordinator has knowledge of highly confidential information and is expected to use discretion.
KEY JOB RESPONSIBILITIES:
Provides administrative assistance, including but not limited to: create/develop presentations, reports, spreadsheets and documents as needed including and not limited to monthly budget reports, letters, memos, department reports, expense reports, etc. as needed.
Coordinates the monthly Executive Project Review Meetings including maintaining the outlook meeting distribution, distributing agendas, collecting project reports and posting to SharePoint, tracking action items and minutes throughout the meeting and distributing action items and minutes afterward.
Coordinates scheduling of weekly Project Management and Engineering Management staff meetings including scheduling in outlook and tracking and distributing minutes and action items.
Coordinates travel as needed for Project Management and Engineering teams including working with the Executive Assistant on any necessary travel visas.
Assists in the coordination of department training including upkeep of employee training records in the company?s Learning Management System.
Create and maintain resource calendars.
Tracks change order status.
Provides assistance in updating/maintaining department work instructions.
Creates and edits manuals and documentation for new and existing products.
Provides general input/output on department activities.
Maintains general department document management.
Monitors and maintains department SharePoint site.
Carries out other related projects and tasks as assigned.
Ensures that master drawing files and history files are accurate and current and that effective control is maintained over drawings and other project records.
Serves as single point of contact to customer base to answer document control questions.
Processes engineering and construction documents to ensure accuracy and timeliness of reproduction and release; includes supervising department activities.
Assembles and distributes O&M manuals, create electronic versions and oversee record keeping of hard copies.
Prepares weekly reports by collecting and compiling detailed project information relating to the current status of projects.
Maintains the office supply cabinet for the Dixie building.
Relieves receptionist for lunch and other breaks as part of a rotating schedule.
Any other responsibilities as assigned by TAS.

EDUCATION & TRAINING
High school diploma
Associate degree in Engineering/Business or equivalent industry experience
A minimum of 3 to 5 years? experience as an administrative assistant in a fast paced environment
Advanced level with MS Office, particularly Excel, PowerPoint, and Visio
Technical aptitude and ability to understand basic engineering concepts
Proven ability to operate with integrity and to handle confidential information
Demonstrated high level of service and ability to be proactive
Ability to complete multi-step tasks and follow through to completion
Ability to work independently with minimal supervision and as part of a team
4+ years project administrative experience (prefer EPC firm experience)
MS Project experience
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Performs other physical activities including use of fingers, stooping, crouching, talking, hearing and performing repetitive motions. Visual acuity requirements include color, depth perception and field of vision necessary to prepare and analyze data and figures, operate a computer terminal and conduct extensive reading. The incumbent will be subject to inside environmental conditions.
