JOB DESCRIPTION PROPOSAL PROCESS MANAGER â€" Consulting Services SUMMARY: The Proposal Process Manager is responsible for providing proposal management support for medium to large sales opportunities within Infor Consulting Services. He/she is responsible for developing high quality, compliant proposals with on-time delivery. The Proposal Process Manager will work with Infor License proposal team where new license is also required. KEY RESPONSIBILITIES â€¢ Lead day-to-day proposal management activities, including development of work plans, schedules, milestones and managing all proposal activities and the flow of information across all proposal support resources including: o Collaboration with the Sales Lead and Bid Manager (if assigned) in planning, resourcing, and reviewing proposal content o Participate in meetings with Opportunity Lead team to discuss opportunity background, proposal strategy, proposal support resources needed, opportunity schedule, and proposal support logistics o Collaboration with Bid Manager (if assigned) to determine and assign proposal team roles and responsibilities o Determine milestone review and regular status review schedule, and lead milestone proposal reviews o Pull together milestone review-ready drafts of proposal and final proposal drafts â€¢ Perform collaborative authoring interviews and develop outline for technical solution sections of response and incorporating Infor win themes o Oversee 'bursting' of RFx document and ensure proposal/structure complies with client and Third Party Advisor's (TPAs) RFx requirements o For online response tool submissions, see the Online Response Tool Handbook for detailed instructions o Develop/maintain proposal tracker o Coordinate proposal support resources (Proposal Coordinator, Graphics/Desktop Publishing, Editors, and Author/Collaborative Authoring resources) - assign responsibilities, follow up to ensure timely completion of activities, and perform quality assurance check o Perform final quality assurance check of proposal response (editing, graphics, formatting, incorporation of win themes and execution of proposal strategy, etc.) â€¢ Prepare production files and arrange and oversee proposal production o Establish production schedule (during mobilize proposal): ï'§ Understand timeframes ï'§ Scope of documents to be printed (number of copies), etc. ï'§ Additional requirements such as USB drives, .pdf files, etc. ï'§ Estimate of cost ï'§ Delivery approach anticipated (mail, in-person, email, online response tool, etc.) ï'§ Coordinate with print vendors (e.g., in-house, FedEx Office, Mimeo/Virtual Print Center) and negotiate pricing ï'§ Develop schedule to print: ï'§ Binder and Spine Covers ï'§ Tabs ï'§ Cover Letter on Infor letterhead ï'§ Proposal response (original vs. copy notations, paper selection, single/double sided, etc.) ï'§ Any additional attachments o Order binders, USB drives, brochures and other required materials in advance o Coordinate original and electronic signatures for original proposal documents and copies o Contact vendor to schedule and coordinate proposal production o Produce proposal deliverables in timely manner, according to schedule o Ensure quality of every proposal binder, document, USB drives, etc. o Package proposal according to schedule o Ship/deliver proposal â€¢ Oversee development of material for Pre-RFx, orals, site visits, client sessions/workshops, BAFO, etc. â€¢ Ensure proposal artifacts are secured at all times â€¢ Takes lead in enforcing efficient, effective proposal management processes to meet customer and NA PRC expectations and minimize obstacles/risks â€¢ Provide process improvement via: â€¢ Develop and maintain a library of submitted proposals â€¢ Develop and maintain a library of question/response content â€¢ Standardize template responses â€¢ Maintain resume library and ensure they are current â€¢ Maintain reference library and ensure they are current Qualifications Basic Qualifications â€¢ Minimum 4 years Proposal development and/or project management experience â€¢ Bachelors Degree or 5+ years experience managing proposal processes Preferred Skills Infor Core Delivery Skills: â€¢ Cost Management -Proficient â€¢ Operational Excellence - Advanced â€¢ Operations Management - Proficient â€¢ Project Management - Advanced â€¢ Resource Management- Advanced Functional Job Specific Skills: â€¢ Proposal Management - Advanced â€¢ Value Creation - Proficient â€¢ Client Relationship Management- Advanced â€¢ Content Management - Advanced â€¢ Demand Management -Proficient â€¢ Sales Writing - Advanced â€¢ Quality Assurance -Advanced Equal Opportunity Employer: All qualified applicants will receive consideration for employment without regard to race, color, religion, marital status, gender, gender identity or expression, sexual orientation, national origin, genetics, disability, age, or veteran status or any other characteristic protected by law applicable to the state in which you work.
