Overview:The Proposal Technical Writer Manager will own the development and content completion of RFP/RFI and related documents. As Manager this includes prioritizing work for the entire team, setting timelines, providing content writing assignments, assisting with writing and editing, collation and pagination of final documents. The Proposal Technical Writer Manager will collaborate with our solutions, sales, engineering, product marketing, legal, finance and management teams and utilize their knowledge of technology, procurement, standards, processes, and procedures to complete these documents. The Proposal Technical Writer Manager is responsible for managing the RFX Tracker, prioritizing all incoming RFX requests and resource planning to support RFX activity. This individual is also responsible for reporting status of activity to Management, analyzing and reporting metrics and coaching within the RFX Team. Individual must have strong management skills, strong technical writing and editing skills as well as the ability to understand technology and quickly become proficient with SciQuest products and solutions. In addition, this individual will support the production of these documents through editing, formatting, and printing/production. Key deliverable is the creation and management of a knowledge management system and process for improvement of the RFP creation process.
Principal Responsibilities:
Own the SQ RFX process including prioritizing the workload for the team, management of the tracker including current, future and completed RFXs as well as setting priorities for all incoming or recently released RFXs.
Manage RFX responses from the time they come to SciQuest through completion of the response.
Responsible for developing, planning, writing, editing and final completion of complex RFPs and RFIs, including key content development.
Ensure all RFXs assigned are completed, printed (where appropriate) and shipped to prospective customers and account executives on time.
Implement and manage knowledge management system (reference library & Qvidian) including populating with accurate and up-to-date responses to key RFX questions as well as maintaining content for quality control purposes.
Work with multiple SciQuest departments to obtain and edit content required to respond to RFXs.
Work closely with solutions engineering to support, create, write and complete technical content including use cases, solutions scenarios, product and company capabilities in response to RFP/RFI
Develop business relationships among internal associates to ensure effective management of proposal generation.
Create Company style and brand guide for consistency in proposals and other materials
Become SciQuest product subject matter expert by direct interaction with solutions engineering, engineering and product marketing and management.
Provide feedback and support document reviews specific to technical and other documents that are complex in nature. Includes white papers, technical articles, and product capability descriptions.
Support Marketing Communications in the development of case studies and business case scenarios.
Manage and schedule response activity and necessary team meetings.
Develop outlines and compliance matrices per RFP/RFI instructions. Develop and document standards, processes and best practices for proposal and other content creation.
Develop and maintain key RFX metrics and benchmarks and report results to management on monthly/quarterly basis.
Provide coaching and management for RFX team members.
Other duties as assigned.
Position Requirements:
Prior proven management experience required. Must have the ability to hire, retain and develop key talent.
5+ years of proposal management experience working specifically within technology company.
A proven track record in having worked expertly in a face-paced, dynamic and changing work environment is a must.
Must have excellent project management skills with the ability to work under pressure and manage multiple RFXs at any given time.
Previous technical writing experience in a technology / software company. Minimum 3 years experience in technical RFP/RFI content development and writing.
Ability to create value propositions, solution / technical diagrams, technical content as it relates to software. SaaS experience preferred.
Strong writing, editing, quantitative and verbal communication skills required.
Experience managing projects using Agile Methodology a plus.
Ability to design, document and implement processes and process improvements. Six Sigma/Lean methodology and knowledge a plus.
Must possess ability to work independently and within the team to meet deadlines and prepare materials with a high degree of accuracy.
Must be highly organized, detail-oriented, proactive, resourceful, and able to exercise sound judgment.
Procurement, Supply Chain or similar functional experience preferred.
Proficient in Word, Excel, PowerPoint, and Adobe.
Knowledge management systems experience preferred.
Bachelor?s Degree in Business Administration, Business Management or Communications related discipline preferred.
