The Purchase Order Clerk (PO Clerk) is co-owner of the Jewelry Department Operational Plan and as it relates to the role, is responsible for helping to insure that merchandise is ordered, processed, and delivered to the stores in the most effective and efficient manner possible to make the meeting between the customer, the brand, and the store successful. The PO Clerk is responsible for insuring that all purchase orders are entered into Oracle in a timely, accurate, and efficient manner in order to maintain proper inventory levels. In addition, the PO Clerk is responsible for insuring vendors receive the order and deliver on time. This is congruent with our department mission of ?The right ring at the right price in the right place at the right time?.
Processes Purchase Orders for both purchased and manufactured product within guidelines set.
Faxes/e-mails and verifies receipt of P.O.?s to vendors.
Follows up on past due and rush orders to ensure that the stores have sufficient product to meet their sales goals and to increase the inventory turn.
Communicates with management when delivery schedules are not being met.
Updates spreadsheets with product changes and sends to NPWC for upload to Oracle
Return To Vendor
Accurately inputs RTV information and prints supporting documents.
Utilizes RTV report to actively close PO lines.
Memo and Invoice Processing
Converts memo to asset products accurately and in a timely manner
Tracks and processes pre-paid invoices
Accurately enter price changes on spreadsheet and coordinates with BAMP to load into system
Prints tags and sends to stores with a minimum of 2 days prior to effective date
Creates price adjustment report and e-mails to stores prior to tag arrival
Checks price adjustment reports that stores send back to ensure all tags have been changed
Actively promotes and maintains RBJ?s security and inventory control procedures to minimize losses and to keep inventory accuracy at the highest possible levels.
Participates in month end corporate inventory and ensures data and product accuracy
Plans for and participates in company sponsored meetings and training.
Plans daily/weekly workflow to accomplish daily and monthly responsibility tasks in the most efficient manner
Anticipates backlog during times of heavy receipts and works with management to utilize overtime as necessary to accomplish responsibilities within established timelines
