The role of the Administrative Assistant is a combination of administrative and client support. We are looking for an individual who is responsible, reliable and willing to help out at a moment?s notice. The right candidate will be detail oriented, organized, proficient with multi-tasking and comfortable with working in a fast paced environment. Additionally, he or she will have strong communication and interpersonal skills, possess an enthusiastic attitude and follow directions well in addition to having flexible work hours.
Supports teammates and peers and assists them to overcome challenges where appropriate such as but not limited to: creating new-hire binders, training manuals, assist with Sales? time-sensitive mailings, Business Cards, tradeshows and review accuracy of expense reports as well as assist with travel arrangements as needed.
Reception afternoon duties would include but not limited to: Respond to client calls and forward to appropriate person, answer door, manage meeting rooms & calendars, receive and send packages, stock/order supplies, enter in work orders with Building Mgmt, order food & keep common areas tidy and clean.
Will be asked to take on additional various administrative tasks and projects which will be assigned accordingly by their Manager. Tasks include, but not limited to: general clerical support, updating forms and on-line folders, creating and maintaining spreadsheets, research and providing back-up coverage as needed.
Update and post Company Org Charts and Floor Plans & assist with new hire set up (i.e. liaison to coordinate office/cube and equipment).
Assist with overview and production of presentations regarding internal and external matters.
Review and process Consultant Invoices on a monthly basis and update documents in shared folder for Services? Managers accordingly.
Create and obtain approval on Purchase Orders/Requisitions.
Expense report review for Sales and Client Services.
Assist in managing client addresses in Salesforce.com and using application for generating mailings and/or reports.
Provide pre-arranged full time coverage as needed: Back up to Receptionist and Executive Assistant in addition to ongoing projects and regularly assigned duties.
A college degree and relevant work experience in a professional business environment exercising a proficiency in Microsoft 2007 applications mainly Word, Outlook, PowerPoint and Excel.
Candidate must exercise excellent customer service skills by demonstrating an upbeat, positive and professional attitude and presentation as well as excellent written and oral communication skills.
Candidate possesses effective prioritization skills by evaluating requests in terms of importance and can use independent judgment to take action accordingly.
Able to effectively multi-task and pays attention to detail related to assigned activities including assigned tasks and projects as well as meeting rooms, kitchen & copy rooms and has the ability to meet deadlines.
Exercises diplomacy and sensitivity when working with clients or vendors, by phone as well as in person.
A quick learner who possesses a high level of organizational and problem solving skills and can work independently as well as in a team.
Willing to take on new challenges and learn new techniques and applications as necessary to perform job functions.
