Receptionist/Contracts Administrator Zoom Systems
THIS JOB HAS EXPIRED The Receptionist/Contracts Administrator is responsible for providing world-class reception as well as assisting the legal team across all channels within the organization.
Greet, sign-in and welcome ZoomSystems customers, partners, suppliers and visitors in a world-class fashion.
Professionally administer all incoming calls and ensure phone calls to the general mailbox are redirected accurately in a timely manner.
Receive and distribute, incoming faxes, mail and parcels; send outgoing faxes, mail and parcels.
Coordinate scheduling of Board of Directors meetings, and compile and distribute related materials.
Assist in planning of company events and ordering of food and drinks for the events.
Assist with other typical clerical duties such as photocopying, faxing, filing, as requested and as time for other duties allows.
Assists in the ordering, receiving, stocking and distribution of office supplies.
Coordinate maintenance of office equipment, including copier, fax machines, etc.
Contracts Administrator Duties:
Upload all contracts and legal documents to Salesforce or Company network.
Preparing location contracts for execution, including printing, stamping, scanning, drafting cover letters and preparing UPS mailing labels.
Maintaining and creating hard copy files for all corporate and location contracts.
Managing requests for certificates of insurance.
Managing annual review and audit for certificates of insurance and endorsements.
Managing annual requests for contracts during annual financial audit.
Providing daily/weekly report of all contracts signed and sent to internal clients.
Responding to requests for fully executed contracts from internal and external clients.
Customer service focused/driven.
Excellent verbal & written communication skills.
Excellent phone etiquette.
Timeliness and punctuality.
Able to work with minimum supervision & multi-task effectively.
Strong knowledge of MS Office (Word, Excel, Outlook).
Advanced PowerPoint skills.
Excellent time management skills.
Minimum 2-4 years receptionist/customer service experience.
